About Us:



Coastal Virginia Veterinary Dermatology is a multi-doctor specialty clinic dedicated exclusively to small animal dermatology, with locations in Virginia Beach and Yorktown. We are currently seeking a receptionist for our Virginia Beach location. This position combines receptionist duties with some veterinary assistant responsibilities in a fast-paced environment.

Our clinic specializes in managing skin allergies, chronic ear infections, resistant bacterial infections, autoimmune skin disorders, and parasitic and fungal diseases. Services include but are not limited to intradermal skin testing, video otoscopy, and skin biopsies.

Position Overview:



We are seeking a friendly, organized, and detail-oriented receptionist to join our front desk team. The ideal candidate will demonstrate professionalism, empathy, strong communication skills and is detailed-oriented while supporting both clients and clinical staff. Our reception team ensures a welcoming and efficient experience for both pet owners and their companions. We value compassionate service, clinical excellence, and a collaborative team culture. Employees will work primarily in one location, Virginia Beach or Yorktown, but must be willing to work in either location as needed.

Responsibilities



Greet clients and patients with warmth, empathy, and professionalism Answer, route, and document incoming calls, emails, faxes, and text messages promptly and accurately Schedule, confirm, and manage appointments and follow-ups using practice management software Obtain and input accurate client and patient information, including referral records Process check-ins, check-outs, medication refills, and payment transactions, including end of day closeout and weekly cash reconciliation Communicate clearly with clients about appointment expectations, procedures, and clinic policies and document all communications thoroughly with relevant details Liaise with referring veterinarians and specialists as needed Maintain a clean, organized, and calm reception area/lobby Assist with administrative tasks such as faxing, scanning, and file management Handle sensitive information and difficult situations with discretion and care Efficiently prioritize and manage the above tasks and responsibilities simultaneously

Requirements:



High school diploma or equivalent (college coursework preferred) Prior experience in a veterinary or medical reception setting strongly preferred Excellent verbal and written communication skills Strong interpersonal skills and a client-focused attitude Proficiency in computer systems; experience with veterinary software is a plus (We use the following on a daily basis: Daysmart/Vetter, Adobe, Google docs/Microsoft Word, Weave, Stax) Ability to multitask and stay organized in a busy environment Professional demeanor and ability to handle emotionally charged situations with empathy Knowledge of veterinary dermatology terminology is a plus (or willingness to learn)
