Job Summary

We are seeking a detail-oriented Vessel Operations Coordinator to manage essential administrative and operational tasks for our vessel fleet. This role ensures smooth vessel entrance/clearance, regulatory compliance, and coordination with U.S. and international authorities and agents. As backup to the Marine Operations Manager, you will contribute to the overall efficiency of our maritime operations serving U.S. ports (e.g., Port Everglades) and Latin American markets (e.g., Bahamas, TCI, Mexico, Brazil).

Key Responsibilities

Process vessel Entrance and Clearance documentation for U.S. and international ports Handle CBP (U.S. Customs and Border Protection) & APHIS (Animal and Plant Health Inspection Service) payments online Submit Notice of Arrival (NOA), ENOAD, and BESW filings accurately and on time Maintain up-to-date vessel documents, including Crew Lists and Vessel Certificates Contact CBP and Immigration upon vessel arrival at Port Everglades (PEV) Send Inward documents and Estimated Time of Arrival (ETA) to Island Agents (Bahamas & TCI) Order fuel for vessels in coordination with suppliers and operations team Serve as backup to the Marine Operations Manager for critical operational tasks Ensure compliance with U.S. federal regulations and international maritime standards Coordinate with internal teams (logistics, dispatch) and external agents for seamless operations Track vessel schedules and resolve documentation-related issues promptly
Qualifications

Required:

1-3 years of experience in maritime operations, shipping coordination, or logistics High school diploma or equivalent; Associate's degree in Logistics, Business, or related field preferred Strong organizational skills with attention to detail and ability to manage multiple deadlines Proficiency in Microsoft Office Suite (Excel, Word) and online payment/regulatory systems Excellent communication skills (verbal and written) Ability to work independently and as part of a collaborative team
Preferred:

Bachelor's degree in Maritime Studies, Logistics, or related field Experience with CBP, APHIS, or U.S. Coast Guard filing systems Bilingual (English/Spanish) for coordination with Latin American agents Knowledge of container shipping operations (FCL/LCL) Familiarity with vessel documentation and international regulations

Job Type: Full-time

Pay: $25.63 - $30.87 per hour
