Location: Arlington, VA (On-site Monday-Thursday, Remote Friday)



Duration: 3-4 month temporary contract (Maternity leave coverage)



Compensation Range: $30.00 - $38.00/hr W2





We are seeking a highly organized, tech-savvy

Vendor Coordinator

to manage purchase orders and invoicing workflows for a fast-paced communications team. This is a critical coverage role requiring a professional who is resourceful, self-sufficient, and ready to hit the ground running after a brief transition period.



The ideal candidate must be comfortable navigating multiple software platforms simultaneously and have prior experience in SAP Concur. You will be responsible for ensuring that all financial coding is accurate and that vendor operations remain seamless during a 3-4 month period.



Responsibilities:




Invoicing & Expense Coding: Review and code all invoices, ensuring expenses are assigned to the correct type, project code, and bill-back entity. Purchase Orders: Submit PO requests to the procurement team as new vendor contracts are executed and keep all stakeholders updated on PO status. Vendor Communication: Coordinate with vendors and internal "Service Verifiers" to confirm deliverables have been met before processing payments. Media Invoice Management: Handle specialized paid media billing by pulling data from platforms (e.g., Google) into Excel for detailed coding. Data Reporting: Monthly extraction of creative team hours from Workfront to provide data to Finance and Accounting teams. Project Operations: Create and code projects in Workfront for each executed agreement and monitor contract statuses to identify and resolve bottlenecks.

Qualifications:




Systems Expertise: High proficiency in SAP Concur is required. Familiarity with Jira and/or Workfront is highly preferred. Technical Aptitude: Must be extremely tech-savvy and able to navigate complex workflows across multiple internal tools. Financial Literacy: Strong understanding of expense coding (assigning types/classes) and high-volume billing accuracy. Professionalism: Ability to work independently, troubleshoot stalled contracts, and communicate effectively with internal leadership.
