Overview
Reporting to the Operations Manager in the Computer Science Department, the Undergraduate Registrar provides high-level administrative support to the Directors of Undergraduate Studies (DUS), Department Chair, faculty, staff, and students. The Registrar acts as a resource for any student issues or problems that arise. Responds to inquiries from prospective and current undergraduate students and advises them as needed. The Registrar is responsible for maintaining accuracy and confidentiality of student academic records and files. Monitors and reports on students' academic progress. Serves as expert resource, provides guidance to faculty and students regarding rules and policies for the undergraduate major. In conjunction with the Director of Undergraduate Studies (DUS), the Registrar coordinates the effective operation of all Computer Science course offerings, assists with scheduling, monitors for potential overlaps, and coordinates course cross-listings and departmental attributes with other departments and schools. Works with the DUS/DGS/Chair to guide new course proposals through the University Course of Study approval process. Assists in the coordination of the Teaching Fellow appointment process and hiring of peer tutors and undergraduate graders. Supports undergraduate student events and activities throughout the year including Bulldog Days, declaration day, Undergraduate Learning Assistant (ULA) training, program-related travel, matriculation, and commencement. In collaboration with Directors of Undergraduate Studies, calculates graduating students' eligibility for Distinction in the Major according to criteria that will vary by major across six majors. Coordinates and supports various student community building related events including ordering food, reserving rooms, processing expenses and other logistics. Updates and maintains website for Computer Science and Economics major. Administers student mailing lists for Computer Science majors. Performs all duties with limited supervision. The Registrar will also provide backup support to other department staff and Graduate Registrars as necessary.
Principal Responsibilities
Serves as principal source of information on administrative, academic and procedural matters to students, prospective students, faculty, and staff, and advises Yale College administration of undergraduate Computer Science major and Programming Certificate requirements. Processes applications for admission. Ensures compliance with administrative policies and procedures. Assists students with the completion of forms. Reviews and verifies forms for completeness and accuracy. Establishes and maintains student files, ensuring all personal, financial, and academic records are kept current and accurate. Monitors student records to ensure compliance with academic regulations and program requirements for graduation. Maintains logs and records. Compiles statistical data and information. Summarizes data in reports or analyses. Updates, edits, and writes program publications. Coordinates production and distribution of publications. Coordinates teaching schedules for academic classes. Schedules classroom assignments for regular meetings, presentations, and exam activities. Coordinates Senior Essay and Dissertation activities. Monitors financial records and activity. Oversees and instructs support staff. Performs clerical functions incidental to office activities.
Required Education and Experience
Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree, or an equivalent combination of education and related experience.
Required Skill/Abilities
1. Excellent organizational skills and attention to detail, with the ability to handle multiple tasks and meet deadlines.
2. Strong written and verbal communication skills, including the ability to interpret and explain policies.
3. Proven ability to work independently and as part of a team in a fast-paced environment.
4. Proficiency in using office software, such as MS Word, Excel, and database systems.
5. Excellent customer service and interpersonal skills, with the ability to handle sensitive information confidentially.
Preferred Education, Experience and Skills
1. Working knowledge of student information systems such as Argos, Banner, Canvas, Classroom Requests (25Live), CourseLeaf, Degree Audit and the Teaching Fellow Systems.
2. Prior experience in academic or registrar settings, with knowledge of university policies and procedures.
3. Bachelor's degree or equivalent work experience in a related field.
4. Intermediate to advanced proficiency with Microsoft Office Suite and experience with web management tools. Proven ability to extract large amounts of data, and to analyze and export into various software programs
for operational use.
