The Coordinator manages daily office operations, maintains program data and records, assists with financial and budget processes, coordinates events and activities, and ensures compliance with federal grant requirements.

Job Summary
Under the general direction of the Director of TRIO Student Support Services (SSS), the Program Coordinator supports the overall management of the program and its mission to improve student retention, persistence, academic progress, and graduation rates. The Coordinator manages daily office operations, maintains program data and records, assists with financial and budget processes, coordinates events and activities, and ensures compliance with federal grant requirements.
Duties and Responsibilities:Provides administrative support for the Director and staff by answering phones, scheduling appointments, preparing correspondence, processing travel and expense forms, ordering supplies, and managing program communications (reports, forms, flyers, memoranda, website, and social media). Supports ongoing program evaluation and assessment efforts through peer mentor reviews, focus groups, senior exit interviews, and other methods to ensure program alignment with the program's mission, vision, goals, and objectives. Maintains accurate programming date using Blumen (or equivalent) to input, compile, query, retrieve, and report program data. Use of Blumen is an integral requirement for this position. Coordinates technology enhancements and maintains electronic resources to improve program efficiency. Processes requisitions, payroll, and other financial actions to maintain program activities. Monitors budgetary information from the grant accountant, reconciles grant budget records, and notifies Director and grant accountant of any discrepancies. Monitors TRIO SSS cost centers and budget in Workday including purchasing, and travel authorizations, payments, etc. Reconciles monthly P-Card statement and processes purchase orders and requisitions for program expenditures. Manages recordkeeping, filing systems, and documentation for compliance with department, state, federal and university policies; secures confidential records. Establishes and maintains confidential program participant files to ensure all required documentation is accurate to ensure compliance with grant requirements. Assists the Director with all data entry, forms, and reports for the Annual Performance Report (APR), in compliance with federal guidelines. Assists with gathering/inputting data/information for annual APR for program. Coordinates logistics for faculty and student meetings, the summer bridge program, cultural experiences, and other special events, including facility reservations, catering, invitations, and transportation. Generates student data reports from institutional databases to track schedules, grades, and academic progress. Assist with grant proposals and reports by collecting, tabulating, and formatting data and statistics for federal, state, and institutional submissions. Coordinates distribution, review, and tracking of program applications to ensure eligibility requirements are met and enrollment metrics are achieved. Supports recruitment, hiring, and onboarding of student employees, peer mentors, and tutors; ensures completion of HR paperwork, background checks, and confidentiality forms. Approves student employee timesheets in Workday. Update the SSS Policies and Procedures Manual annually and as requested by the Program Director. Prepares the Student Handbook each academic year; creates and updates program materials, including brochures, postcards, flyers, the website, email communications, and social media. Supports and participates in major university and division events such as admissions programs, orientation, welcome week, and commencement. Performs other duties as assigned by Director, Assistant Director or designee. Some evening and weekend work required.


Required/Minimum Qualifications:Associate's degree in related field required. Two years of experience working in an educational setting. Strong technology skills including: Proficiency in the use of Microsoft Office Word, Excel, PowerPoint, and Outlook. Demonstrated experience with budget administration and management, program coordination, and administrative record keeping. Demonstrated ability to work efficiently in a fast-paced environment with heavy student traffic and limited supervision. Demonstrated strong communication and organizational skills and attention to detail. Demonstrated ability to work effectively with individuals from diverse communities and cultures.

Preferred Qualifications:Bachelor's Degree in related field preferred. Experience with Banner, Workday, and database programs are strongly preferred. Experience with grants programs, databases, or student support programs strongly preferred.

Starting Salary - AFT Range 18 - $55,142.18 - $63,410.34
