Under direct supervision of the Court Clerk and general supervision of the Judicial Division Director, the Deputy Court Clerk provides administrative and technical support to the courts in the processing of all Civil and Criminal cases. This includes preparing and processing documents; maintaining databases and files/records; receiving and recording payments. This position interacts and assists the community and schedules hearings and takes direction from the Court Judge.

Essential Duties & Responsibilities:
Works on maintaining trial court docket, updating calendar, scheduling hearings and utilizes a standard tickler system to keep track of all cases.
Establishes and maintains an effective filling and retrieval system. Maintains confidentiality and security of documents, recorded information and interpersonal communications in all court and department matters.
Accepts court fines, support payments, issues receipts and processes accounts receivable; contacts clients who have outstanding fines.
Prepares, maintains and closes case files for criminal, traffic, civil, probate, domestic, juvenile and informal hearings.
Informs clients and the community of the rules and procedures and assists clients in completing the appropriate forms with courtesy and respect. Arranges transportation for clients to the Court as needed.
Accepts filing of all petitions, motions and other documentation and schedules timely hearings. Notifies all parties concerned about postponement, cancellation or rescheduling of court activities.
Prepares and serves notice of cases and secures information to prepare notices and records.
Analyzes and evaluates pending caseload to establish scheduling priorities, compiles information and data for completion of annual reports as required.
Checks daily with Santa Ana Police for criminal and civil complaints and other documents that need to be filed.
Prepares invoices and purchase order requisitions; receives, sorts and routes mail and prepares outgoing mail.
Contributes to a team effort and accomplishes related results as required.
Performs other duties as required.
Minimum Qualifications:
High School Diploma or GED and a minimum of two (2) years of court clerk or legal environment experience. Associate's degree in criminal justice or legal studies and fluency in the Keres language, preferred. Must be able to become a Notary Public within 6 months of hire. Must be able to successfully pass a pre-employment drug/alcohol screen and background investigation including a motor vehicle check. Must possess and maintain a valid New Mexico driver's license and be insurable under the Pueblo's insurance.
Knowledge, Abilities, Skills, and Certifications:
Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
Knowledge of legal terminology, statutes and court procedures.
Knowledge of the Santa Ana Pueblo language, history and culture.
Skill in operating various word-processing, spreadsheets, and database software programs in a Windows environment.
Skill in operating digital/electronic court reporting software.
Ability to communicate effectively in the English language both verbally and in writing
Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
Ability to demonstrate moral character, honesty, tact, fairness, lack of prejudice, and desire to help when dealing with people.
Ability to represent the organization in a professional manner, building respect and confidence

While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk and hear.
