Overview



The Travel and Expense (T&E) Program Lead supports the Global Director of Travel & Expense Management with T&E-related sourcing initiatives, overseeing the employee expense reimbursement process, and administering the Concur Expense system. This role serves as a primary point of contact for Gallagher employees with questions related to T&E expense submissions, the travel policy, and any reimbursement queries.
This is a supervisory role with one or more direct reports (T&E Analysts) who audit identified out-of-policy T&E transactions for compliance with Gallagher policies. This position interacts frequently and directly with all levels of our employee base, with our T&E reimbursement vendor (Concur), 3rd party T&E audit firm (AppZen), and with other related service providers. This role will work closely with the Global Travel and Global Corporate Card teams and with Gallagher's IT team.
The role encompasses significant responsibility for key program monitoring and reporting, measuring compliance with travel and expense policies, communicating items of importance to employees, and escalating issues to vendors. A critical component of this role includes recognizing and analyzing trends, identifying recurring issues, and developing and implementing process improvements to address those issues.
The ideal candidate will have a background working in the travel and expense industry as well as a keen interest in T&E industry trends. They should feel confident in proposing changes and/or enhancements that will improve Gallagher's global programs.



How you'll make an impact



Serving as a primary day-to-day contact for Concur and AppZen programs, including communicating with employees, researching issues, and providing solutions based on interpreting policies, procedures and country-specific regulatory requirements. Manage one or more T&E Analysts to ensure they complete accurate audits of employee expense reports. Training employees on the Concur Expense system or other T&E expense submission process. Creating and updating user guides and other training materials as necessary. Developing expertise in Concur's Intelligence reporting tool and Gallagher's financial reporting tools to produce ad-hoc reports on employee expenses. Supporting future global implementations of Concur Expense. Assisting in Concur and AppZen system administration and developing an understanding of policies, expense groups, forms, workflows, audit rules and integration with internal and external systems. Maintaining an understanding of the Egencia travel booking site and American Express corporate card program. Driving efficiencies and business process improvements related to T&E expense program management by: + Assisting with recommendations on policy clarifications and updates.
+ Assisting with recommendations for employee communication and training.
+ Other project work supporting the Sourcing & Procurement department as required.




About You



Required: Bachelor's degree (Accounting, Finance, or Business Administration). Highly skilled in Microsoft Excel, Access, and Powerpoint. Strong written and verbal communication skills. Minimum of 5 years related experience




Preferred:Three to five years of progressive experience in corporate T&E program management and/or corporate card program management. Concur experience preferred. Basic familiarity with expense reimbursement/payables operations. Experience with Microsoft Office; proficiency in Excel. Ability to manage large amounts of data and use pivot tables, vlookup, etc. Experience in working and presenting financial information to develop consensus and buy-in for data-based decisions.

Desired:Degree in Accounting, Finance, or Business discipline Related work experience in accounting, payables, financial operations or audit Familiarity with General Ledger coding principles Prior administrative experience with Concur or similar T&E application
