Job Description


Assist the Sales Vice President (1), Managers (3), and Sales Reps (75 and counting) with various daily requirements to maintain an efficient sales department.

WHAT YOU\'LL BE DOING - THE ROLE

  • Essential Functions:
  • Check in daily sales and compare our CRM system and the contract for accuracy. Correct any discrepancies in the system from contract amounts and forms of payments to clerical errors. Request anything missing from the reps (Greensky, Synchrony, HOA, csv or proj files), print all Greensky and Synchrony financing forms and deliver to Accounting for collection of the deposits, and deliver HOA forms to our HOA representative to begin the process of gaining HOA approval.
  • Save all emailed files into our shared drive for future reference.
  • Create sales file for each sold job and file appropriately.
  • Print off Job Jacket covers on any white jobs needing to be scheduled for tech measures. Logistically plan the appointment and contact the customer to schedule. Follow up on these white jobs weekly to maintain efficiency with ordering of products.
  • Maintain contact with our consumer finance manager to provide him with documentation for all finance turndown sales as needed. You will also need to be in communication with him once he gets financing approval for jobs as they are ready for site evaluations.
  • Constant monitoring of email and fax to address cancellations, no shows needing immediate reschedules, amendment requests, request for modifications on sales reps and tech measure schedules, requests from reps to mail customers various documentation
  • Phone duties include setting site evaluations, reschedules, cancellations. Calls come through both office line and personal cell phones constantly throughout the workday.
  • Contract Amendments - Save all returned amendments to the customer file and notify order processors when amendment has been received.
  • Order business cards, name tags, ID badges, thank you cards/envelopes, lead books, beauty catalogs, shirts, color chains, corner cuts, window samples, credit card readers and any other sales materials. Maintain constant stock. Requires credit card from upper management for payment. Disperse all items to team upon arrival and place orders frequently upon request from management or Sales Reps.
  • Maintain an accurate inventory list for all necessary supplies to aid in ordering to ensure we are keeping costs in mind when placing new orders.
  • Maintain a neat and orderly supply closet for all supplies as ordered above.
  • Measure Calls set through text and phone calls constantly throughout the day. Must be able to respond quickly and efficiently. Occasionally, these calls may be required on a night or weekend but will be planned in advance whenever possible.
  • Set Re-measure appointments for missed measures, cancellations, or no shows. Upon last minute cancellations send a text message to the measure tech to prevent un-needed trip charges.
  • Provide guidance on our online CRM to various employees as needed.
  • Filter questions from various departments on status of jobs and any other miscellaneous information. Provide contact information to sales reps so they are aware of whom they need to speak to regarding various issues from service to HR. All commission questions are to be directed to accounting.
  • Handle occasional requests from Sales Reps to provide previous customer files via email.
  • Send out a monthly email reminder to sales reps to enter their schedules into the CRM by the 14th of the month.
  • Create 60 day rolling reports for management by the 4th of every month.
  • Deliver all checks to accounting for processing.
  • Verify credit card deposits with accounting daily. Credit card must be processed for the paperwork to be checked off completely in our CRM.
  • Provide tax credit letters as requested.
  • Tracking of all inventory dispersed to sales department via spreadsheet.
  • Run weekly reports for the managers to discuss at the meeting. The reports are the Top 50 in the East and The Top 100. Highlight all names of local reps for easy reference.
  • \xe2\x80\xa2RTO meeting - Provide updates on various customers regarding signing of amendments, missing deposits, or any other pertinent information to get jobs ordered at a weekly meeting. Follow up on any outstanding issues identified during the meeting.
  • Create a weekly list of outstanding items to request from reps during weekly sales meeting. This includes outstanding amendments, trouble with getting tech measures scheduled or any other communication issues with customers where rep assistance is needed.
  • Maintain a list of current tasks based on priority. Should be updated daily to help keep your days on track.
  • Prepare the meeting room with any supplies needed for the meeting and be ready to assist every rep as they arrive and depart with any issue they may have.
  • Order lunches upon request, order and pick up doughnuts twice weekly and clean up the room after every meeting including Sales, Installers, Measure Techs and Canvassing.

WHAT YOU BRING - THE PERSON
  • Job Requirements:
  • Must be fluent in Microsoft Office including word, excel, outlook, and power point.
  • Training will be provided PCS and other IPad functions and proficiency is expected post training.
  • Must be willing to jump in and assist where needed and maintain a positive outlook to constantly inspire the sales force.
  • Education/Certifications:
  • High School required. College Preferred.
  • Must have valid driver\'s license
