This is a part-time position (8-4 M-Th and 8-2 Fr) to staff the reception desk at our firm on an as-needed basis. Coverage is mostly needed when the primary receptionist is away, or when workflow becomes too great.
Upcoming coverage will be needed full time March 25 to April 6. There is potential to become a dedicated temp, or full time staffer in future.
Secretarial skills required include attention to detail, letter and document preparation, phone skills, copying, filing, scheduling, and general office manager duties such as ordering and replenishing office supplies. Word processing skills and the ability to manage a multiline phone are CRITICAL.
The reception is a critical role, and the hub of all office activity. This is a high paced/high volume job. Applicants must have the ability to handle calls, files, taskers, and clients who are in crisis calmly, while ensuring accuracy.
Prior office experience required.
Responsibilities
Answer and direct phone calls
Organize and schedule appointments
Take detailed minutes on incoming calls/materials
Write and distribute email, correspondence memos, letters, faxes and forms
Maintain a filing system
Order office supplies and research new deals and suppliers
Maintain contact lists
Provide general support to visitors
Act as the point of contact for internal and external clients
Skills
Proven experience as an administrative assistant or office admin assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Word and Adobe, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
