POSITION TITLE: TECHNICAL ASSISTANT: GRAPHICS ENTERPRISE SERVICES
JOB DESCRIPTION:
Assist in the day-to-day accounting process of GES, for Operational and Enterprise functions, according to established procedures, and to support the GES department in regard to incoming and outgoing communications and information.
ESSENTIAL FUNCTIONS:
Analyzes and verifies invoices for all department sites to contracts for compliance, makes any necessary adjustments, as directed, to invoices and inputs requisitions on the financial system.
Analyzes, clarifies and verifies GES department purchase orders and internal and external invoices in preparation for payment.
Compiles all necessary documentation, confirms compliance of APS accounting practices to blanket purchase orders, bids, and invoices.
Responsible for assisting in the follow up and collection of outstanding invoices, internal and external.
Assists in compiling and verifying all daily deposits.
Assists in the research and resolution of problems, to clear items for payment.
Prepares purchase order revision/change forms when necessary.
With direction, verifies and corrects data entry (Lawson) reports.
Researches refund checks and payments not received from vendors to ensure payment and proper abatement was made.
Responds to financial inquiries from administration, customers, and vendors.
Assists in providing information required for State mandated reports and external auditors.
Works with APS auditors to provide required financial payment information on Enterprise and Operational cost accounts.
Updates department job/customer tracking programs when required.
Prepares quotes for submission to customers.
Develops and maintains all necessary files and filing systems as requested.
Handles internal and external telecommunications by receiving and relaying calls and answering routine inquires.
Receives and relays visitors to the office as appropriate.
Generates reports as requested by GES Accounting Specialist.

Ability to meet deadlines and work on multiple projects.
Knowledge of APS community, computer system, financial and legal requirements.
Knowledge/experience in service industry, retail and/or wholesale.
Experience with Lawson Financial System.
REQUIREMENTS:
High School Diploma or equivalent.
Minimum of two years' bookkeeping/accounting experience, preferably in high volume processing, in business application.
Proficient with Microsoft Excel and Word Programs.
