As a Team Assistant, you will support daily operations of the ACTTAY multidisciplinary team by coordinating schedules, maintaining records, assisting with communications, and providing essential administrative support. Key Responsibilities:
Coordinate daily, weekly, and monthly schedules for clients to support smooth team operations.
Participate in daily team staffing meetings to help maintain effective communication across disciplines.
Manage office supplies, equipment, furniture needs, and program vehicle mileage and maintenance coordination.
Maintain accurate admissions and discharge records to support reporting and program tracking.
Organize and update ACTTAY client charts, ensuring timely filing and readiness for clinical use.
Gather data and prepare reports or statistical tracking as needed for program operations.
Serve as the point of contact for agency policies and assist with updates when necessary.
Welcome clients and visitors with professionalism and warmth, providing receptionist support as needed.
Oversee landline and cellular phone accounts to ensure smooth communication processes.
Provide triage support, helping clients and families connect with the team and de-escalating urgent situations until additional staff is available.
Communicate referral and client information accurately and promptly across service teams.
Complete Screening/Admission paperwork thoroughly and with strong attention to detail.
Education and experience in human services, office management, or a combination of both.
Additional Qualifications:
Current driver's license, acceptable driving record, and current auto insurance.
Ability to maintain confidentiality when working with sensitive information.
Strong administrative and communication skills, including proficiency in Microsoft Office applications.
Highly detail-oriented with strong organizational skills.
Ability to build relationships and communicate effectively with a diverse workforce.
Physical Requirements:
ADA Consideration - Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, or pull objects, including the human body. Requires repetitive movements of hands, fingers, and arms for typing and/or writing during the work shift.
