The mission of the Texas Commission on Law Enforcement, as a regulatory State agency, is to establish and enforce standards to ensure that the people of Texas are served by highly trained and ethical law enforcement, corrections, and telecommunications personnel.


Our Records Management Division


TCOLE's Records Management Division plays a critical role in maintaining the integrity and security of essential law enforcement information. The division implements best practices in records management to support the Commission's regulatory functions and decision making processes. Through secure, technology-driven systems, our team ensures proper handling of sensitive records while maintaining strict compliance with state and federal regulations. The division focuses on information governance excellence through innovation, continuous improvement, and cross-agency collaboration to support TCOLE's mission of promoting the highest standards in Texas law enforcement.


Who We're Looking For


The Texas Commission on Law Enforcement (TCOLE) is seeking Records Analyst II to join the Government Relations Division located at 6330 E HWY 290, Suite 200, Austin, TX. The Records Analyst II performs complex (journey-level) records and information management work. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Employees at this level may work more independently than those at the previous level, may routinely assist others in performing work of greater complexity, and may:

Maintain agency records disposition log(s). Advise agency employees and work with legal counsel regarding the transfer of agency records to storage and the destruction of records in accordance with all applicable laws, policies, and procedures. Participate in the design and implementation of filing systems and filing procedures. Ensure that records are released to external customers in conformance with the approved retention schedule. Salary is dependent on qualifications and experience.

The salary range is $42,976 - $64,469. This Job Class for this position is 7481 and salary group is B17.


Examples of Work Performed


Reviews incoming investigative reports to determine pertinent information for entry into automated records systems.


Maintains electronic filing systems, investigative records, and case files. Identifies incomplete record submissions.


Maintains contact with law enforcement agencies to coordinate the collection and review of correct information.


Responds daily to email and telephone inquiries from department staff and other law enforcement agencies.


Assists in compiling data for charts, graphs, databases, summaries or reports.


Composes letters and memoranda explaining the findings of investigations or actions taken regarding information and supporting documentation found in databases.


Ensures security and confidentiality of sensitive and/or protected information. Other duties as assigned.



Qualifications



Required Education and Experience:

Experience in records management work. Bachelor's degree from an accredited four-year college or university in Records Management, Public Administration, Business Administration, Library and Information Sciences or a related field. Education and experience may be substituted on a year-for-year basis. Required Skills, Knowledge, and Abilities: Ability to research, analyze, and evaluate data and information to formulate conclusions and communicate guidance orally or in writing. Ability to pass a law enforcement sensitive background investigation. Ability to apply standardized information management strategies and procedures to unusual and/or critical situations. Knowledge of office practices and administrative procedures. Proficiency in the use of standard office equipment and Microsoft Word, Teams, Excel, Outlook, and SharePoint. Ability to communicate and interact effectively with members of law enforcement and representatives of other government agencies. Proven ability to write with precise attention to spelling and grammar.
