Job Summary:



As a Tax Administrative Professional, you'll be part of a high-performing team to accurate, timely, and efficient delivery of tax processing and administrative services. This is an excellent opportunity to grow your career in a collaborative and client-focused environment. You will provide hands-on tax processing and project support to the leadership team and client services.

Key Responsibilities:

? Provide reception and general administrative support to the tax department and firm.

? In-Office printing, assembly, and shipping of tax returns and related documents.

? Perform scanning and ensure proper retention of client documents in line with firm policies and standards.

? E-file business, individual, trust, and other tax returns.

? Manage digital signatures, monitor client signoffs.

? Prepare and edit PDFs, including combining, bookmarking, securing, and formatting deliverables.

? Autoflow/Outsource Individual & Trust documents into firm apps.

? Assist with year-end updates to tax processing procedures and templates.

? Assist with creation and distribution of engagement letters and tax organizer to be delivered to clients.

? Communicate effectively with the team.

? Contribute to process improvements for efficiency and time savings.

? Monitor/order inventory of tax processing supplies.

? Assist with QuickBooks data entry and bookkeeping as needed.

Qualifications:



? 2-4 years of administrative support experience, ideally in professional services or

U.S. taxation.

? High school diploma required; coursework or degree in Business or Office Administration preferred.

? Intermediate Microsoft Office skills (Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive).

? 1-3 years of write-up/bookkeeping experience, preferably in QuickBooks.

? Demonstrated reliability and ownership; comfortable being the on-site go-to without formal people-management authority.

? Ability to quickly learn and navigate multiple systems (preferred, but not required: UltraTax, GoFileRoom, DocuSign, SurePrep, ShareFile, QuickBooks, and Adobe).

? Strong written and verbal communication skills; client-service mindset; attention to detail.

? Proactive, organized, and able to multitask in a deadline-driven environment.

? Ability to handle confidential data with discretion and adapt to peak-season pressures.

? Flexibility to work in-office at least 4 days a week and occasional overtime (10-15% annually) during peak times.

? Willingness to travel occasionally for training or shipping/deliveries.

? Change-management mindset: ability to guide teams through new workflows and system rollouts

? Support project planning: meeting agendas, minutes, and action tracking

? Monitor workflow and risks; flag issues and suggest mitigation

The wage range for this role accounts for a wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $26.44 - $33.65 per hour.
