Switchboard Operator/receptionist

Job Description

We are seeking a high energy, local professional Receptionist/Switchboard Operator to join our team at ArborNature Tree Experts. The ideal candidate will be the first point of contact for customers and clients, answering incoming calls, directing inquiries to the appropriate department, and ensuring smooth office operations. You will assist in scheduling appointments, managing customer communication, and supporting the administrative needs of the office. Your excellent customer service and organizational skills will help enhance the overall client experience.

Key Responsibilities:



Answer and Direct Calls:

Operate a multi-line switchboard to answer incoming calls promptly and professionally. Direct calls to the appropriate department or individual. Take accurate messages and ensure timely delivery to the intended recipient. Manage Company Email box and forward to appropriate person.

Customer Service:

Greet visitors and clients warmly, directing them to the correct staff or department. Address client inquiries related to tree services, scheduling, or general company information. Assist customers in understanding the scope of services offered, providing basic information about tree care, maintenance, and consultation.

Scheduling:

Familiarity of the areas serviced and be able to read a map when scheduling appointments. Assist with scheduling appointments for tree inspections, consultations, and services. Coordinate with field staff and clients to ensure accurate scheduling and timely service delivery.

Administrative Support:

Assist with data entry, filing, and other general administrative tasks as needed. Maintain an organized and clean front office area. Handle basic office supplies inventory and ensure timely restocking.

Office Communication:

Ensure internal communication between staff and management remains efficient. Handle and distribute incoming mail and packages. Assist with other office duties as needed, including supporting the office manager and other team members.

Qualifications:



Experience:

Previous experience in a receptionist or switchboard operator's role is required. Experience in the tree care industry or a service-based business is a plus.

Skills:

Strong communication skills, both verbal and written. Ability to handle a multi-line phone system efficiently. Excellent organizational and multitasking abilities. Customer service-oriented with a professional and friendly demeanor. Demonstrates a sense of urgency.

Technical Proficiency:

Proficient with office software (Microsoft Office, Google Suite, Google Calendar, etc.).

Education:

High school diploma or equivalent required.

Work Environment:



Fast-paced office environment with regular interaction with clients and staff. Ability to work independently and as part of a team.
Job Type: Full-time

Pay: $20.00 - $22.00 per hour

Expected hours: 40 per week
