Job Overview


We are seeking a highly organized and proactive Surgical Coordinator/Executive Assistant to join our plastic surgery practice. In this vital role, you will serve as the central point of contact for surgical and office procedures, ensuring seamless coordination between patients, medical staff, and vendors. Your energetic approach and attention to detail will help facilitate efficient scheduling, accurate documentation, and exceptional patient care. The position also includes tasks related to personal scheduling of appointments and reservations for the lead physician.

Responsibilities



Coordinate all aspects of surgical scheduling, including appointment setting, pre-operative preparations, and post-operative follow-ups, utilizing calendar management tools (Google Workspace). Knowledge of medical insurance portals with respect to checking benefits and eligibility, deductibles, plan coverages. Serve as the primary point of contact for patient procedures, answering inquiries with professionalism and courtesy via multi-line phone systems and in-person interactions. Prepare and review surgical documentation, including pre-op and post-op instructions. Collaborate closely with clinical medical staff to facilitate smooth communication regarding surgical procedures, equipment needs, and patient care plans. Handle administrative tasks such as data entry into electronic health records (EHR), filing patient documents securely, and managing office supplies inventory. Support event planning for staff meetings/outings. Have some front desk responsibilities when coverage needed, and ensuring a welcoming environment for patients and visitors. Assist with administrative support duties including typing reports, proofreading documents, transcribing notes from meetings or dictations, and supporting executive staff as needed.

Requirements



Proven experience in office management or administrative support within a healthcare setting; personal assistant or clerical experience is highly valued. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills demonstrating proper phone etiquette and professional interpersonal interactions. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems. Familiarity with electronic health records (EHR) systems and healthcare documentation standards. High level of computer literacy combined with keen proofreading and transcription skills to ensure accuracy of all written materials. Knowledge of office procedures such as filing systems, document management, and office supply organization. Pay: From $25.00 per hour
