We are a growing footwear and lifestyle brand expanding our U.S. operations. We work with overseas manufacturers, U.S. logistics partners, and 3PL warehouses. We are looking for a detail-oriented

Supply Chain & Vendor Operations Coordinator

to manage daily communication, documentation, and data flow between our vendors and our U.S. operations.

This is a critical role for ensuring our products move smoothly from factories ? freight ? 3PL ? customers

Role Overview



You will coordinate

shipments, vendor communication, import documentation, product data updates, 3PL follow-ups

, and maintain all supply chain information for the founder. This is a structured, operational role -- ideal for someone who works accurately, communicates well, and handles logistics professionally.

Key Responsibilities



Vendor & Production Coordination



Communicate with overseas manufacturers to track production status. Find competitive vendors Collect invoices, packing lists, product sheets, and compliance documentation Maintain organized folders for all product and shipment documents Follow up on approval samples, timelines, and delays

Freight & Import Coordination



Track containers, air shipments, and courier parcels Collect & verify: Commercial invoices Packing lists HS codes BL/AWB details Duty estimates Update shipment tracking sheets for management

3PL & Warehouse Coordination



Communicate with U.S. 3PL regarding:

Inbound receiving QC issues Stock counts Labeling needs Storage and dispatch Log and monitor discrepancies, damages, or delays Maintain inventory accuracy reports

Product & Data Management



Maintain product master / vendor master / item master sheets Update product specs, measurements, and carton details Digitally organize images, product labels, barcodes, and SKU lists Assist with Shopify data accuracy (no coding required)

Reporting



Prepare weekly supply chain status summaries for the founder Update ETA sheets, pending items, and priority actions Maintain a clean, accurate operations dashboard

Requirements



Experience in

supply chain, logistics, procurement, vendor management, or import/export

Strong communication skills (professional email + WhatsApp coordination) Excellent organizational habits and document management Good Excel/Sheets skills (vlookup, filters, pivots preferred) Ability to follow up consistently and keep multiple tasks on track Experience with 3PLs, freight, or retail logistics is a plus Must be able to work
