Key responsibilities
Weekly payroll preparation
- Accurately prepare and process weekly payroll for all employees, ensuring proper time tracking whether or not employees were present at the
stores.
Store supervision
- Make unscheduled visits coordinated with store managers to observe operations and ensure all assigned duties are being performed. Provide feedback and
support where needed.
Four-hour completion requirement
- Each four-hour visitmust be sufficient to complete all scheduled tasks. Failure to finish tasks within the allotted time will be considered a
failure to meet job expectations.
Mail & paperwork management
- Collect and review mailand paperwork for each store. This includes sales reports, vendor invoices, rental property documentation and other
records.
Final inspections
- Perform thorough inspections toconfirm that weekly tasks such as cleaning, restocking and maintenance are completed and meet company standards.
Task monitoring
- Follow up on tasks assigned to specific
employees (e.g., Thomas, Ahmad or others) to ensure
accountability and completion by the next visit.
Manager training & development
- Train store managers on daily operations, employee supervision and assigned duties. Ensure they understand payroll procedures, tax compliance requirements and store protocols.
License & compliance checks
- Ensure store managers keep each location fully compliant with
TCEQ/TCEQ
(Texas Commission on Environmental Quality) requirements and verify that all necessary licenses and permits are current.
Check licenses at least monthly to ensure timely renewal and enforce this duty within store management.
Payroll tax compliance

File and pay
monthly federal payroll taxes (Form 941)
by the 15th of each month.
Submit
quarterly unemployment tax reports (Form 940)
as soon as each quarter ends and handle Texas unemployment tax filings.
Record keeping
- Maintain separate and accurate financial records for each store and the rental property. Use Excel to produce clear weekly, monthly and quarterly reports.
Completion of all duties
- Ensure that every assigned duty --whether payroll, bookkeeping, store supervision, tax reporting or training--is completed accurately and on time.
Time tracking
- Use the same time-tracking software as other employees to clock in and out for each store visit.
Accurately record your arrival and departure times during every on-site inspection so that hours worked can be verified.
Preferred qualifications
At least 1-2 years of bookkeeping and payroll experience. Proficiency in Excel with strong attention to detail. Solid understanding of federal (Forms 941 & 940) and Texas payroll requirements.
Ability to work independently, manage multiple tasks and communicate effectively with store managers.
