Job Summary:

The Program Manager plays a key role in supporting the Staffing line of business, including client engagement and operational support. This role oversees the full staffing lifecycle--sourcing and placing talent, maintaining strong freelance[ and employee networks, and partnering with both clients and internal leaders to meet short- and long-term needs. The Program Manager leads operational execution and talent management within the staffing line of business, working closely with the Director of Staffing to deliver exceptional service to clients and freelancers alike.

Supervisory Responsibilities:

Manage and support employees in Staffing division Execute performance conversations on both client and employee feedback Deliver regular feedback based on client check-ins Schedule and coordinate annual performance and compensation reviews Manage timekeeping (timecard approval, time off requests) Conduct regular check-ins with employees and team leads Send meeting notes / communicate any escalations to Director of Staffing Train employees in new company processes and procedures

Essential Functions:

Budgeting / Scoping



Prepare project scope and staffing budgets in collaboration with production leads and clients Initiate monthly billing and invoicing processes Assist in scoping out annual budgets for each team Monitor budgets and report variances to Director of Staffing Track employee expenses in preparation for monthly billing Follow up with employees who have missing / outstanding expenses Forecast monthly billing projections

Operations



Maintain centralized location for meeting notes with clients and employees Schedule monthly check-ins with clients on behalf of Director of Staffing Provide accurate, up-to-date records for client visibility

Process & Systems Oversight



Implement systems and tools that streamline scheduling, onboarding, compliance, and financial tracking Manage processes that ensure timely, cost-effective, and scalable staffing solutions

Other Duties/Responsibilities:

Recruitment



Build, maintain, and manage a network of freelance and full-time content production professionals across disciplines (producers, editors, shooters, designers, etc.) Partner with internal production leadership to fulfill short-term staffing needs Assist Director of Staffing with the full staffing lifecycle, from role scoping and talent sourcing to placement and post-engagement follow-up Support Director of Staffing in partnering with clients to forecast staffing needs and proactively pipeline candidates

Client Engagement



Communicate client feedback with Director of Staffing Proactively seek to understand client needs and recommend solutions to Director of Staffing Maintaining updated knowledge of company services available to clients

Required Skills/Abilities:

Strong attention to detail Have the unique ability to see or catch small details that others often miss and then know how to quickly and discretely address them Proven leadership and project management skills Excellent written and verbal communication skills Proficient with the Microsoft Office Suite, specifically Excel, Word and Outlook Understand strategic thinking and the importance of balancing business objectives with client requests Executive presence and confidence to manage client expectations Know when to speak up and offer recommendations or advice, and when not to. Similarly, comfortable saying no with context and flagging concerns. Have a growth mindset and are constantly learning, while possessing the willingness to share learnings and educate others

Education and Experience:

5+ years' experience as a program manager, project manager or similar position Experience in staffing, talent management, or resource planning is preferred Demonstrated experience working directly with C-suite executives and high-profile individuals in a professional setting Knowledge, understanding and experience in video storytelling in the entertainment and/or video game industry preferred

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer Must be able to lift up to 15 pounds at times

Work Environment:

This role routinely requires using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers This position may require the ability to stoop, kneel, crouch, or crawl Must be able to operate various electronic devices

Position Type/Expected Hours of Work:

This is a full-time

Hybrid-WA

role, defined as a combination of remote and in-office / on-site work within the Greater Seattle Area (King, Pierce, and Snohomish Counties). This person would work remotely most days, but onsite as needed for client meetings and support. The office generally operates from 9 a.m. to 5 p.m., but the days and hours of this position may vary week-to-week. Mighty Media's workplace policies are subject to change at any time based on business necessity and manager discretion.
