We are seeking an organized, proactive, and detail-oriented Staffing Coordinator to support our Nursing Department. The ideal candidate will be responsible for creating, maintaining, and adjusting staffing schedules to ensure appropriate clinical coverage and compliance with regulatory requirements. This role requires strong communication skills, the ability to problem-solve in real time, and a commitment to supporting both staff and residents.
Key Responsibilities
Scheduling & Coverage
Create staff scheduling patterns to ensure appropriate coverage across all units.
Generate a four-week schedule and post at least two weeks prior to the start date.
Ensure schedules meet established staffing targets.
Post an annual PTO submission calendar for employees.
Notify staff of summer vacation approvals and communicate all PTO approvals/denials before or at schedule posting.
Print daily staffing sheets in advance and calculate staffing needs by unit and skill level.
Work proactively to fill all open shifts and maintain the required Department of Health (DOH) staffing documentation.
Monitor staffing levels throughout the day, receive call-ins, and fill vacancies promptly.
Agency Coordination
Utilize staffing agencies when necessary to maintain safe staffing levels.
Maintain accurate records of agency staff schedules.
Ensure agency staff receive appropriate orientation and EMR password access.
Monitor and reduce agency utilization whenever possible.
Cancel agency staff in accordance with contractual timelines to avoid unnecessary charges.
Review staffing agency invoices for accuracy and process check requests.
Payroll & Attendance
Review staff punches daily for accuracy.
Enter approved PTO into the payroll software.
Ensure payroll is completed and submitted for processing every other Monday.
Ensure per diem and weekend staff meet required time commitments.
Identify attendance concerns such as excessive absenteeism or tardiness and generate reports for management review.
Communicate and follow up with employees who are out of work and coordinate return-to-work dates.
Ensure all return-to-work documentation and medical releases are obtained and filed appropriately.

Proven experience in staffing coordination or healthcare scheduling.
Strong organizational and communication skills.
Ability to manage multiple priorities effectively.
Knowledge of healthcare staffing regulations is preferred.
Experience with staffing software such as Workday or Kronos is a plus.
Compassionate attitude aligned with senior care values.
Ability to work collaboratively within a team.
High school diploma or equivalent; additional certifications are advantageous.'
