The Sr. HR Specialist is responsible for supporting the full spectrum of human resources functions, with a strong focus on payroll administration, compliance, and HR operations. This role ensures smooth execution of HR processes, adherence to employment laws and regulations, and delivery of positive employee experience. The Sr. HR Specialist will also manage HRIS data integrity, onboarding, offboarding, and serve as a point of contact for employees regarding HR policies and procedures.
MAJOR DUTIES AND RESPONSIBILITIES
PayrollHRIS
Administer and process payroll accurately and on time, ensuring compliance with federal, state, and local regulations.
Maintain HRIS records, ensuring data accuracy, confidentiality, and compliance.
Generate reports and HR metrics to support business and compliance needs.
Compliance
Ensure compliance with federal, state, and local employment laws (e.g., FLSA, FMLA, CFRA, EEO, ACA, OSHA).
Maintain employee records in accordance with company policies and legal requirements.
Prepare for and support audits, reporting, and documentation to ensure HR compliance.
Benefits Administration
Manage employee benefits programs including health, dental, vision, life insurance, disability, retirement plans (e.g., 401(k)), and wellness initiatives.
Oversee annual open enrollment, including system setup, employee communication, and vendor coordination.
Ensure compliance with ACA, COBRA, HIPAA, and ERISA requirements.
Reconcile monthly benefits invoices and resolve discrepancies with vendors.
OnboardingOffboarding
Lead the onboarding process, including new hire paperwork, orientation, and systems setup.
Manage offboarding process, including exit documentation, final pay, and compliance requirements.
Partner with managers to ensure smooth transitions for employees entering or leaving the organization.
Leave of AbsenceTime-Off Management
Administer and track employee leaves of absence (FMLA, CFRA, disability, workers' comp, personal leaves), ensuring compliance with applicable laws and company policies.
Manage PTO balances, accruals, and reporting through HRIS and payroll systems.
Employee SupportHR Operations
Provide guidance to employees and managers on HR policies, payroll, and benefits.
Support performance management and employee relations processes as needed.
Drive HR projects to improve processes, policies, and employee engagement.
Collaborate with HR team members and leadership to ensure efficient HR service delivery.
ImmigrationWork Authorization
Manage and support employee work authorization processes, including visas (H-1B, TN, OPT/CPT, etc.), work permits, and permanent residency (Green Card) applications.
Serve as primary liaison between employees and immigration attorneys to ensure accurate and timely submission of petitions and supporting documents.
VendorSystem Management
Act as primary liaison with payroll, HRIS, and benefits vendors to resolve issues and ensure service quality.
Participate in vendor evaluations, system upgrades, testing, and process improvements.
BASIC QUALIFICATIONS
Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
3-5 years of progressive HR experience with direct responsibility for payroll, benefits, compliance, and HR operations.
Proven ability to manage payroll processing independently and ensure multi-state compliance.
Strong knowledge of federal, state, and local employment laws (e.g., FLSA, FMLA/CFRA, EEO, ACA, OSHA, HIPAA, COBRA, ERISA).
Hands-on experience administering health, retirement, and leave programs.
Proficiency with HRIS and payroll systems (e.g., iSolved, ADP, Paylocity, Workday, or similar), including data reporting and system maintenance.
Excellent organizational and time management skills with the ability to balance multiple priorities.
Strong interpersonal and communication skills, with the ability to build trust and provide guidance at all levels of the organization.
High degree of integrity and confidentiality in handling sensitive employee information.
