The Service Manager oversees the daily workflow of all maintenance operations, including farm equipment, vehicles, scheduled services, preventive maintenance, and unforeseen equipment breakdowns. This role is responsible for hiring, training, and developing a skilled workforce to perform safe, efficient, and approved repairs that meet the operational needs of Hickman's Family Farms. By utilizing spreadsheets and maintenance management systems, the Service Manager tracks service schedules, warranties, and preventive maintenance tasks for both facilities and farm equipment. They ensure that daily assignments are delegated to properly trained service personnel, resulting in costeffective and timely repairs. The Service Manager also promotes safety compliance, cost-reduction strategies, and continuous improvement to maximize operational efficiency across all equipment and assets.
Supervisory Responsibilities:
Lead, train, and supervise shop employees, ensuring tasks are completed safely, accurately, and efficiently.
Conduct daily safety meetings and assign repair/maintenance tasks to properly trained staff.
Oversee second-shift operations, providing guidance, direction, and follow-up on repairs and parts availability.
Perform employee scheduling, evaluations, and ongoing development.
Promote safety compliance, cost-control, and continuous improvement across the maintenance team.
Duties/Responsibilities:
Daily
Arrive early to prepare schedules and review reports before the start of the mechanics' shift.
Review Driver Vehicle Inspection Reports and mileage data from electronic logging devices to update service tracking spreadsheets, ensuring accurate preventive maintenance schedules and inspection records.
Verify prior day work orders for accuracy, update spreadsheets, and correct errors as needed.
Conduct AM safety meeting, assign daily repairs, and provide diagrams/instructions for tasks.
Review notes from lead mechanic to identify pending or incomplete repairs and ensure needed materials are obtained.
Meet with parts personnel to follow up on outstanding requests, inventory, and daily parts driver pickups.
Walk the shop and yard to assess repairs, prioritize work, and determine cost-effectiveness of high-expense or long-term units in consultation with the fleet director.
Conduct PM safety meeting with second-shift employees, assign tasks, and provide direction on priorities.
Monthly
Update employee work schedules.
Complete due employee performance reviews.
Review vendor pricing and pursue cost-saving opportunities with key suppliers.
Analyze monthly parts purchase spreadsheets to determine demand and ensure adequate stock.
Review and approve outstanding PO requests with parts personnel.
Run open work order and deferred job reports, preparing items for upcoming safety meetings.
Meet with fleet director to address high repair costs and explore opportunities for in-house solutions.
Yearly
Purge and update vehicle files.
Review and update employee certification records and tool allowance purchases.
Inspect shop tools and equipment for damage; repair or replace as needed.
Inspect facility and schedule necessary repairs.
Required Skills/Abilities:
Strong leadership and supervisory skills with the ability to train, motivate, and hold employees accountable.
o Advanced technical knowledge of diesel/gas engines, diagnostics, and preventive maintenance. o
Excellent problem-solving and decision-making skills to prioritize repairs and allocate resources.
Strong organizational skills to manage schedules, work orders, and reporting systems.
Effective verbal and written communication skills for staff direction and vendor relations.
Thorough knowledge of workplace safety standards, DOT regulations, and compliance requirements.
Proficiency with maintenance tracking systems, spreadsheets, and ELD reporting.
Ability to manage budgets, vendor negotiations, and inventory control.
Customer/operations-focused mindset to minimize downtime and support transportation needs.
Education and Experience:
Minimum of 5 years' progressive experience in fleet maintenance, equipment service, and farm equipment maintenance or a related field required.
At least 2 years in a supervisory or management role preferred.
ASE Certification(s) in Medium/Heavy Truck or related fields preferred.
CDL (Class A or B) license for equipment testing and compliance preferred.
Familiarity with RTA or similar fleet maintenance software preferred.
Strong knowledge of DOT, OSHA, and BIT inspection requirements.
Proven ability to reduce downtime and increase fleet reliability.
Bilingual (English/Spanish) skills a plus.
Physical Requirements:
Prolonged periods of standing, walking, and working in and around a shop environment.
o Must be able to lift up to 50 pounds at times. o Ability to bend, kneel, climb, and reach as needed for inspections and repairs.
Exposure to noise, fumes, chemicals, and moving mechanical parts in the shop environment.
Must wear required personal protective equipment (PPE) including safety glasses, gloves, and steel-toe boots.
Ability to work in varying weather conditions when inspecting or monitoring equipment outdoors.
