RJ Powersports is expanding our service team and hiring an additional Service Writer & Warranty Administrator. This role supports our current Service Writer and Service Manager and will share customer communication, repair order management, and warranty processing responsibilities.
We are a fast-growing, high-volume dealership representing Polaris, Kawasaki, Honda, Yamaha, and more. We need someone with real dealership or service department experience who can step in and contribute immediately.
About the Role
This is a shared Service Writer position. You will:
Handle a portion of the daily customer interactions (not all)
Assist with Repair Order intake, scheduling, and documentation
Communicate with your assigned customers throughout the job
Support technician dispatch, notes, and repair verification
Take ownership of specific warranty claims and administrative tasks
Your role will integrate with our existing team, not replace it. You won't be doing 100% of the customer communication -- you will be responsible for your assigned ROs and claims.
Key Responsibilities - Service Writer Support
Work with the Service Manager and current Service Writer to divide daily workload
Assist with check-ins: gather customer info and document concerns as "customer states" in Lightspeed
Open and manage assigned Repair Orders
Help quote labor/time using Service Manager Pro, OEM guides, and internal pricing sheets
Communicate with customers assigned to you for approvals, updates, and pickup
Verify that technician notes and repairs match customer concerns before closing ROs
Support scheduling and dispatching as needed during busy periods
Warranty Administration
Submit and track your portion of OEM warranty claims
Ensure claims are documented correctly and comply with OEM guidelines
Contact OEM portals for authorizations, returns, parts requests, and claim status
Keep accurate records and follow up on pending claims
Required Experience
Only apply if you have:
1+ years experience as a Service Writer, Warranty Admin, or Service Advisor
Dealership, powersports, auto, RV, marine, or tractor service department background
Experience using service software (Lightspeed or CDK experience is a major plus)
Ability to manage multiple ROs at once and prioritize correctly
Solid communication skills and professionalism with customers and technicians
Strong organizational habits and attention to detail
Preferred Experience
Direct powersports dealership experience
OEM warranty submission experience
Familiarity with Polaris, Kawasaki, Honda, Yamaha, or CFMOTO systems
Basic understanding of labor guides and quoting
