Middletown Transmission and Auto Repair is a locally owned and operated auto repair and transmission shop located in Louisville, KY that is committed to excellence in every aspect of our business. We offer a variety of services such as engine repairs, brake services, tune-ups, and much more. We are looking for an experienced Service Manager to join our team. The ideal candidate will have a strong background in customer service and a passion for providing exceptional service. The Service Manager will be responsible for managing the daily operations of the service department, including customer relations, scheduling, and helping organize workflow. This position requires excellent communication and organizational skills, as well as the ability to effectively manage multiple tasks simultaneously. Middletown Transmission is now open from 7 a.m. to 6 p.m. Monday - Thursday to offer employees a better work life balance with better flexibility. Responsibilities:

  • Ensure that customers are greeted promptly and given fair estimates (Fair to both customer and technicians) required for repairs and maintenance whilst simultaneously delivering outstanding customer service.
  • Conduct a thorough customer interview of their concerns to determine the issue they may be having with their vehicle.
  • Thoroughly document customer complaints and concerns using their exact words and descriptions whenever possible. This is to be recorded in the designated location.
  • Once service technicians have completed their preliminary assessment of required repairs, exact details of their findings should be documented by the Service Manager. Documentation should include part descriptions, part locations on the vehicle (i.e. front, rear, upper, lower, left, right, etc. as appropriate) to ensure the correct parts are ordered and to facilitate any after repair services and warrantee tracking.
  • Provide timely quotes to customers. Quotes are to be provided the same day for vehicles that arrived overnight or in the AM, and by noon the following workday for vehicles arriving the prior afternoon during business hours.
  • Secure customer approval based on the quote, ensure the appropriate parts and suppliers are ordered without delay. Document part costs, customer price, vendor information, and when applicable, part numbers as well as service hours based on parameters as established by the Shop Owner.
  • Coordinate the day-to-day activities of the service technicians to ensure a smooth workflow is maintained across the shop. From time-to-time it may be necessary to meet with the technicians and the Shop Owner to address any scheduling conflicts.
  • Leverage the workflow management system of the shop (\'Shop Monkey\') using the appropriate shortcuts and other tools to ensure that documentation of each customer experience is recorded in a timely, thorough, and complete basis. When time allows, take advantage of Shop Monkey\'s training tools and other resources to ensure that the system\'s capability is utilized to the greatest extent possible.
  • Promote a positive working enviornment for the benefit of customers, service technicians, office staff and the Shop Owner.
  • Account for and organize all documents assosiated with services performed and warantees.
  • Submit and and authorize needed repairs for vehicle with aftermarket warranties
  • Monitor and follow-up (as needed) on part orders to ensure customer expectations are met.
  • Maintain good working relationships with customers to encourage repear and referraal business.
Working with the Shop Owners: - Help implement a marketing plan which promotes new and repeat business - Maintain high quality service repairs and minimize comebacks by conducting periodic spot checks of completed jobs for thoroughness and quality - Maintain inventories for shop supplies and reordering as needed. -Ensure the customer waiting area is kept clean and provides the best possible impression of the shop - Maintain a professional appearance of self and the service technicians. Qualifications:
  • 4-10 years of related experience
  • College degrees, certificates, licenses, ASE certificates are not required but are definitely a plus
  • Valid drivers license
  • Reliable transportation to work
  • Must be punctual
