Purpose of the Position:





The purpose of this position is to deliver an exceptional customer experience in the service department while providing accurate and efficient processing of service lane transactions. This role supports the daily operations of the service team through professional communication, organized administrative work, and strong customer engagement. In addition, the position plays a key role in identifying used-vehicle acquisition opportunities by engaging service-lane customers, gathering essential information, and connecting potential sellers with the appropriate dealership managers. Through these combined responsibilities, the position enhances customer satisfaction, strengthens internal operations, and contributes to dealership growth.

Essential Job Functions:




Greets customers at the service lane desk in a pleasant and professional manner. Computes customer bills. Refers customers who have questions about the work performed, additional maintenance, or repairs etc. to the appropriate service advisor or other appropriate individual. Handles customer complaints with integrity and poise and, when necessary, refers dissatisfied customers to the appropriate individuals for resolution. Engage customers in the service drive to identify potential vehicle acquisition opportunities. Maintains a professional appearance. Keep the work area neat and clean. Performs other duties as assigned.



Daily Tasks:




Maintains and files repair orders, parts invoices, loaner forms; lists missing documents. Facilitates pickup and delivery Maintains car loaner fleet Closes all open invoices. Assists service department with telephone coverage. Provides clerical assistance to the service department. Works with the department manager to keep abreast of new products and services offered, their features and value, and any changes in price. Receives cash, checks and credit card payments from customers; records amount received. Makes change and issues receipts to customers. Provides cash refunds or credit memorandums to customers for returned merchandise. Reconciles the cash drawer daily.



Physical Requirements:




Standing and Sitting:




Ability to sit for extended periods at a desk or reception area. Occasional standing or walking within the dealership or service area.


Mobility:




Ability to walk short distances to other departments or service bays. Occasionally assist customers in or out of the waiting area.


Manual Dexterity:




Use of hands and fingers to operate a computer keyboard, telephone, and office equipment (copiers, printers, etc.).


Hearing and Speaking:





Clear speech for answering phones and greeting customers. Ability to hear and understand speech in a sometimes noisy environment (especially near service bays).


Vision:




Read computer screens, printed documents, and vehicle records.


Lifting:




Occasionally lift or carry light office materials or packages (typically under 20 lbs).


Qualifications:




High school diploma or the equivalent. Ability to read and comprehend instructions and information. Valid driver's license and acceptable driving record * Basic Computer Skills
