We are seeking a professional and organized Secretary/Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, manage administrative tasks efficiently, and support office operations. This role requires excellent communication skills, proficiency with office software, and the ability to handle multiple responsibilities with professionalism and attention to detail. Bilingual abilities are a plus, and previous office or clerical experience is highly valued.
Responsibilities
Greet visitors and clients in a courteous and professional manner at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
Perform data entry, filing, and maintain organized records for easy retrieval
Handle correspondence, including proofreading documents and managing email communications
Support office management tasks such as bookkeeping with QuickBooks or similar software
Assist with customer service duties, providing support to clients and staff as needed
Maintain a tidy reception area and ensure all office supplies are stocked
Support administrative functions including typing, document preparation, and basic bookkeeping
Uphold phone etiquette standards and ensure excellent customer support at all times
Requirements
Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Experience with QuickBooks or similar bookkeeping software preferred
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong typing skills and attention to detail for proofreading documents
Exceptional customer service skills with professional phone etiquette
Bilingual abilities are highly desirable to assist diverse client needs
Ability to manage calendars efficiently and support administrative tasks such as filing and document management
Prior experience in office or administrative roles demonstrating reliability and professionalism
