ABOUT THIS POSITION

The Emergency Medical Services (EMS) Division of the Phoenix Fire Department is responsible for maintaining certification records for over 1,900 emergency medical technicians and paramedics, including data entry, record retention, and reporting to the Arizona Department of Health Services.


Also, the division oversees several training programs, such as initial paramedic training, recertification, continuing education, and the Baby Shots Vaccination Program, all of which require ongoing administrative support. The Secretary III position plays a vital role in supporting these operations by managing administrative tasks, coordinating logistics, and ensuring smooth day-to-day functioning of the EMS office.


The work schedule hours for this position are: Monday through Friday 8:00 AM - 5:00 PM.


Key responsibilities include and are not limited to:

Process orders for goods and services using E-Procurement and SAP as a designated Shopper. Serve as the primary receptionist for the EMS Division, handling incoming calls and greeting visitors. Enter employee overtime and leave transactions in Telestaff Payroll/Leave system. Schedule meetings, reserve conference rooms, and manage calendar events using Microsoft Outlook. Attend and document meetings. Prepare and distribute accurate meeting minutes. Draft and respond to EMS-related correspondence. Provide administrative support for EMS programs, including initial paramedic training, continuing education, and the Baby Shots Vaccination Program. Support EMS Managers and the Medical Director with various administrative tasks. Conduct research and recommend improvements to EMS processes and programs. Maintain and order supplies for EMS office equipment (e.g., copiers, fax machines). Manage inventory and ordering of general EMS office supplies. Assist with special projects as assigned.

SALARY

Pay Range: $19.07 - $29.58 per hour.


Hiring Range: $19.07 - $26.83 per hour.

Pay range is the entire compensation range for the position classification. Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

Please understand that this is pay grade 036. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

Promotions occur when the last two digits of the pay grade increase. Demotions occur when the last two digits of the pay grade decrease. Lateral transfers occur when there is no change to the last two digits of the pay grade. When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

Three years of progressively responsible secretarial experience, including training in typing and the use of modern office software and equipment. Other combinations of experience and education which meet the minimum requirements may be substituted. All finalists for positions are subject to a criminal background check applicable to the department or position.

The minimum qualifications listed above, plus:

Experience working with SAP or E-Procurement systems. Experience with data entry and record keeping. Experience in PeopleSoft, Telestaff or payroll system. Experience with Meeting scheduling, meeting preparing, & transcribing meeting notes for distribution. Experience with Office Suites Word, Excel, PowerPoint. Experience with Outlook scheduling/ calendaring.
