This includes project/program management, financial and business support, administrative support, logistics and quality control services. Overview Tribal One Professional Services is establishing a candidate pool to provide full time, experienced administrative support services to federal government customer across the state of Mississippi. Primary duties will be to provide administrative and technical support services for the customer\'s program functions. Support is also needed to perform administrative and technical support services related to the flow of items associated with the easement contract process from application to obligation, payment, and closeout. This is an exciting opportunity to support our customer\'s critical mission to ensure the long-term sustainability of American agriculture. Duties/Responsibilities Specific duties include but are not limited to:

  • General administrative duties including typing, data entry, scanning, photocopying, preparing mailings, preparing spreadsheets and processing items for shipment.
  • Support the customer\'s field personnel with investigations and surveys, document preparation, updating technical guide standards, statements of work, job sheets, conservation planning tools and preparing final form reports for signature and approval by customer\'s federal personnel.
  • Assemble packets of program related information in both hard copy and electronic forms following up as necessary to ensure completed packets.
  • Receiving incoming phone calls for the agency and greeting visitors in a professional manner, taking detailed messages and/or referring callers and visitors to the appropriate section or staff. Act as the point of contact for internal and external customers.
  • Preparing, drafting and reviewing correspondence.
  • Organizing and maintaining both electronic and hard copy records and files.
  • Support the research, creation and edit of presentations in both digital and hard copy formats.
  • Support multiple grant and contract program lifecycles including, but not limited to:Interface with web enabled applications used to streamline the application and contracting process for conservation programs;
Ensure protection of Personal Identifying Information (PII);
Review and cross check applications for accuracy and completeness;
Support landowners/operators with application completion and submittals;
Use checklists to ensure complete application packets are submitted;
Compile review documents and report problems;
Process payments and review contracts to process and coordinate with staff regarding payments that are ready;
Review documents against checklists to facilitate payment preparation;
Update forms;
Support contract modification process;
Utilize Document Management Systems;
Follow up to ensure approval or coordinate questions and answers;
Provide contract case file support;
Assist with audit requests;
Perform quality assurance reviews;
Process waiver requests, cancellation/termination letters;
Run monthly and yearly reports as directed; and
Support compliance reviews and perform compliance sample daily tasks. Minimum Qualifications
  • Minimum one (1) to three (3) years\' experience.
  • Minimum high school degree or equivalent experience at one and one-half (1.5) years\' experience per year of education.
  • Ability to plan, organize and coordinate office activities.
  • Skill in operating computer hardware and software, phones, printers, copiers, and other office machines to carry out day to day work.
  • Skill in performing office related duties for an office such as providing assistance to walk-ins, answering phones, directing calls, taking messages and announcing arrivals.
  • Knowledgeable and experienced in general office procedures, such as preparing reports, spreadsheets and filing.
  • Ability and professional skills to respectfully and efficiently assist and communicate with internal and external executive and top management personnel.
  • Knowledge of policies and procedures governing correspondence management.
  • Proficiency in the use of the Microsoft Office Suite (Word, Excel, Access, Outlook, PowerPoint).
  • Proficiency in use of Adobe Acrobat Professional.
  • Skill in the use of Excel sufficiently to analyze information and produce reports.
  • Must be able to utilize Microsoft Outlook and internet browsers such as Internet Explorer, Google Chrome and Microsoft Edge.
  • Knowledgeable and experienced in operating small office machines such as calculators, fax machines, scanners and copy machines.
  • Must be capable of work independently.
  • Must read, write, speak and understand English fluently.
  • Must pass a federal government security clearance.
  • Must maintain a state driver\'s license and be willing to assist others in delivering vehicles to garages for repair and servicing.
