Under the direction and supervision of the Executive Director, theSchool Age Multi-Site Coordinator is a regional support person for assigned Prime Time and School Day Out programs. The primary responsibilities are to sub in programs as needed for ratio and to provide general oversite and supervision for the YMCA of Topeka's school age programs and their staff. Coordinators provide on-site coaching and support to front line staff including initial site orientations, on-going training, and program audits. In addition, the coordinator ensures program activities and schedules are implemented to fidelity, ensures supply and equipment needs are met, and supports behavior management planning. Critical to this role is establishing strong, professional relationships with Y staff, school building staff, participants, and families. The coordinator monitors staff performance to ensure effective operations and adherence to local, state and YMCA policies/ regulations and reports all concerns to the Executive Director. Regular travel is required between locations. Coordinators working both morning and afternoon session are required to work split shifts daily aligning hours with the program schedule.
ESSENTIAL FUNCTIONS:
Staff Development:
1. Develop and maintain personal relationships that inspire trust and confidence
2. Report on all performance issues as they arise, develop practical action steps for growth and improvement
3. Contribute to end of season reviews for front line staff
4. Assist and guide staff to support positive behavior management and staff/child relationships
5. Regularly guide and training front line staff; does not hire or fire
Program Operations:
1. Effectively communicate the mission, vision, and values of the YMCA of Topeka
2. Ensure program compliance with YMCA and KDHE standards and regulations through daily monitoring, regular inspections and follow through of all compliance issues in a timely manner
3. Guide and support site staff to apply department policies and procedures respectfully when responding and/or redirecting staff and youth
4. Respond quickly and effectively to accidents and incidents
5. Assist in the conduction of investigations as may be required or requested by association or branch leadership and accurately prepare and submit documentation and incident reports in a timely manner
6. Conduct regular site inspection at each off-site location addressing any issue of non-compliance immediately to prepare for KDHE annual inspections and ensure on-going compliance
7. Monitor and help with site inventory and supply requests, coordinate orders for the program as needed and directed.
Fiscal Management:
1. Maintain clean and organized storage of equipment and materials to prevent loss
Caring for People Campaign:
1. Provide leadership for assigned aspects of the Caring for People Campaign, special events and other fund development to ensure fundraising personal and program goals are met.
2. Engage and actively participate in annual campaign, including but not limited to solicitation of donations and facilitation of impact tours.
Facilities Development:
1. Maintain the program area and equipment in an orderly, clean, and safe condition; reporting any irregularities to maintenance personnel and the Executive Director.
Other:
1. Attend applicable training and conferences to further professional development
2. As part of the leadership team, is accountable for the extent that sites meet or exceed quality and satisfaction targets as evidenced by the youth/parent and staff surveys
3. Lead School Day Out as assigned
4. All other duties as assigned
