Immediate opening for a Scheduler/Dispatcher/Administrative Assistant supporting both our Construction and Paint Divisions.
Local contracting company is seeking a highly organized, proactive individual to manage scheduling, dispatching, coordination, and administrative operations across multiple teams. This role is central to keeping projects, people, and materials moving efficiently each day.
About the Role
This position supports daily operations for both
Construction
and
Paint
divisions. The ideal candidate will be able to prioritize multiple tasks, coordinate with field teams and sales, communicate professionally with clients, and keep operations running smoothly.
Key responsibilities include:
Scheduling & Operations Coordination
Schedule construction and paint projects and adjust timelines as needed.
Serve as a liaison between sales, supervisors, and clients to relay project details.
Maintain calendars, crew assignments, and job sequencing.
Track project progress and communicate updates to internal teams.
Dispatch & Logistics
Dispatch delivery drivers to job sites and coordinate routes for efficiency.
Organize material pickups and drop-offs at suppliers, warehouses, and job sites.
Monitor incoming delivery needs and prioritize daily dispatch operations.
Manage time-sensitive deliveries and troubleshoot issues in real-time.
Fleet & Equipment Support
Schedule maintenance and repairs for company trucks and fleet vehicles.
Maintain fleet logs, service records, and inspection documentation.
Coordinate replacement vehicles or equipment when needed.
Administrative Support
Assist project managers and supervisors with daily operational tasks.
Create and update documents, spreadsheets, and job files.
Support internal communication, documentation, and reporting.
Perform occasional work-related errands as needed.
