Position Summary:
The Scheduler is responsible for working with the Project Manager to coordinate installation appointments with customers, ensuring clear communication, accurate timelines, and thorough preparation for each job. By maintaining strong follow-up and organization, the Scheduler supports smooth operations and delivers positive customer experience.
Key Responsibilities:
Customer Scheduling & Communication
Contact customers to schedule installation appointments in alignment with project timelines.
Clearly explain scheduling details, expected arrival time, and preparation requirements.
Answer customer questions regarding installation readiness, product delivery, or crew expectations.
Provide proactive updates if changes to the schedule occur.
Administrative & Recordkeeping
Maintain accurate records of scheduled installations in the company's scheduling system.
Track job progress, reschedules, and cancellations.
Provide reporting on upcoming installations, workload, and scheduling conflicts.
Customer Experience & Support
Ensure customers feel informed and confident about the installation process.
Identify potential challenges or customer concerns in advance and resolve them proactively.
Support customer satisfaction goals by ensuring efficient, timely scheduling.
Qualifications:
Experience in scheduling, customer service, or administrative coordination.
Strong organizational and time-management skills with attention to detail.
Excellent communication skills, both verbal and written.
Ability to handle multiple priorities in a fast-paced environment.
Proficiency in scheduling
Customer-focused mindset with problem-solving ability.
Preferred Skills & Experience:
Knowledge of construction, installation, or home improvement processes.
Experience working cross-functionally with warehouse and field teams.
Ability to remain calm and professional while resolving scheduling conflicts.
Working Conditions:
Office-based position with regular customer phone and email communication.
Collaboration with warehouse and installation staff on-site.
Standard business hours with occasional flexibility required for customer needs.
