The

Scheduler

is responsible for managing staffing schedules for all Home Care services, coordinating Personal Care Assistant assignments to ensure seamless service delivery to clients. This position serves as a critical liaison between care staff and clients, managing schedule optimization, responding to real-time scheduling needs, and providing on-call support. The Scheduler ensures appropriate staff-to-client matching while maintaining continuity of care and meeting all client service requests.

Key Responsibilities




Scheduling and On-Call Duties




Creates and enters the initial pre-schedule for Home Care Personal Care Assistants in the scheduling system Assigns and schedules Personal Care Assistants to client visits, making real-time adjustments based on staff availability, client needs, and service requirements Communicates schedule changes to Personal Care Assistants in a timely and professional manner through appropriate channels Participates in 24-hour on-call rotation as assigned by leadership to ensure continuous scheduling coverage Responds to after-hours calls from staff, clients, and family members regarding scheduling changes, care concerns, and service requests Troubleshoots scheduling conflicts and implements solutions to maintain uninterrupted client care Monitors staff availability and proactively addresses potential gaps in coverage Documents all schedule changes and communications in accordance with agency protocols Acts as back up to assist with unfilled shifts on an emergency basis

Administrative and Office Support




Maintains organized medical records filing system in compliance with agency standards and regulatory requirements Ensures adequate supply of admission packets and client materials are available at all times Answers incoming phone calls professionally, directing inquiries appropriately and providing excellent customer service Serves as backup support for entering new client referrals into WellSky or current EMR scheduling system Assists with general clerical duties including data entry, correspondence, and document preparation Supports the Home Care Coordinator with special projects and reporting as needed Performs other duties as assigned to support department operations




Qualifications




Minimum: High school diploma or equivalent (GED) is required Two (2) years of home care or healthcare scheduling experience managing groups of 50 or more employees is required Two (2) years of demonstrated proficiency using computerized scheduling software systems is required Two (2) years of customer service experience working with internal or external customers in a professional setting is preferred Experience with Wellsky or similar home care management software is preferred Valid state driver's license required Motor Vehicle Driving Record satisfactory to the agency and its insurance providers Proof of current motor vehicle insurance coverage PCA certificate or other clinical training Must be able to read, write, and speak English fluently

Physical Requirements




Primarily sedentary office work with extended periods at computer workstation Ability to use telephone and computer equipment for extended periods Occasional lifting of files and office supplies up to 10 pounds May require occasional travel to client homes or office locations On-call responsibilities require availability outside standard business hours, including evenings, weekends, and holidays

Compensation & Benefits
