Role Overview
The
Sales Support & Customer Experience Coordinator
is the administrative and communication backbone of our sales operation. This role ensures leads, customer communications, and project details flow smoothly from first inquiry to final submission.
You will serve as the
primary showroom and phone point-of-contact
for new customers, maintain clean and accurate data in our ERP system (Nesso) and ClosetPro, coordinate customer touch-points, and support both residential sales and qualified commercial opportunities, without pulling focus from core residential work.
This role also participates actively in sales meetings and may
lead or conduct internal meetings
as needed to maintain accountability and momentum.
Key Responsibilities
Sales Administration
Maintain accurate, complete project records in
Nesso
and
ClosetPro
Support sales staff in keeping leads, tasks, and project steps current
Coach sales team on proper system usage without taking over core responsibilities
Track project activity and remind salespeople of overdue tasks or missing details
Manage documentation for all stages of the sales process
Customer Coordination
Act as the administrative communication bridge between customers and salespeople
Contact customers regarding:
Measurements
Installation scheduling
Preparation requirements
Follow-ups and confirmations
Ensure every customer touchpoint is professional, timely, and consistent
Handle inbound calls and document
all
leads and interactions
Showroom & Reception Desk
Greet all showroom visitors and maintain a professional, welcoming environment
Serve as the
primary receptionist
for the showroom
Answer incoming showroom phone calls
Most internal staff use cell phones, so the majority of incoming calls will be
new or prospective customers
Route calls appropriately and capture lead details accurately
Provide basic guidance and next-step expectations to walk-in and phone leads
Commercial Bid Support
Monitor bid portals for aligned commercial opportunities
Qualify projects for:
Scope
Size
Product fit
Pull relevant documentation into
Nesso
for pricing and evaluation
Coordinate follow-up without disrupting primary residential sales focus
Meetings & Internal Communication
Attend scheduled sales and coordination meetings
Prepare updates, notes, and action items as needed
Conduct or lead meetings
when necessary to:
Maintain process adherence
Address gaps or bottlenecks
Support team accountability
Technology Skills
Daily use of
Nesso (ERP)
and
ClosetPro
Proficiency with:
Calendars
Forms
Shared files
Digital communication tools
Qualifications
Excellent written and verbal communication skills
Highly organized with strong follow-through and attention to detail
Comfortable enforcing processes and keeping teams on track
Customer-service oriented with a polished, professional showroom presence
Confident handling inbound calls and first customer interactions
Ability to manage multiple tasks and deadlines simultaneously
