We are seeking a detail-oriented and customer-focused individual to join our team in a multifaceted role encompassing sales quoting and shipping coordination. This role encompasses generating accurate price quotes for our products/services, quoting and managing shipping logistics, packing orders, and providing exceptional customer service to ensure a seamless experience for our customers.
This position requires familiarity with medical terms and medical equipment, a high level of accuracy, organization, record-keeping, and multi-tasking skills, and a strong ability center on the customer experience.
Responsibilities:
Sales Quoter:
Creating Price Quotes
: Generate accurate price quotes for products or services based on customer needs and company pricing guidelines.
Calculate Costs
: Calculate costs associated with providing products/services, including materials, labor, overhead, profit margins, shipping and import duties.
Ensure Accuracy:
Ensure accuracy and completeness of quotes, including pricing, quantities, and terms.
Shipping Cost Analysis:
provide an accurate shipping quote by assessing services and shipping quotes from several different shipping companies and assessing various factors such as price, shipping distance, package weight, delivery speed, shipping regulations, customs and duties, and more
Upsell:
Assist in identifying opportunities for upselling or cross-selling additional products or services.
Communicate with Sales Team
: Collaborate with the sales team as needed to understand customer requirements and preferences, and to generate accurate price quotes.
Follow-up and Customer Service:
Respond to all inquiries in a timely manner, follow up with clients to answer any questions, address concerns, and provide additional information as needed.
Maintain Records:
Maintain thorough and up-to-date records of all quotes and client interactions in our CRM system.
Continuous Improvement
: Identifying opportunities to improve the quoting process, streamline workflows, or enhance customer satisfaction.
Warehouse, Shipping & Logistics
Shipping Cost Analysis:
Provide an accurate shipping quote by assessing services and shipping quotes from several different shipping companies and assessing various factors such as price, shipping distance, package weight, delivery speed, shipping regulations, customs and duties, and more
Inventory Receiving:
Work closely with procurement department to oversee the accurate and efficient receipt of incoming inventory shipments. inspecting received goods for quality and quantity, verifying shipments against purchase orders, and documenting any discrepancies or damages.
Logistsics Coordination
: shipping logistics, including scheduling pickups, preparing shipping documents, and tracking shipments to ensure timely delivery.
Ensure Accuracy:
Ensure accurate labeling, packaging, and documentation of outgoing shipments to comply with regulatory requirements and company standards.
Maintain Supplies:
Maintain inventory of shipping supplies and equipment, and reorder as needed to ensure smooth operations.
Timely Fulfillment
: Ensure fulfillment and organize and maintain expected timelines to prioritize orders and meet shipping deadlines.
Pick, Pack, Label
: Pack orders accurately and efficiently according to packing guidelines, ensuring items are protected during transit. Verify order contents and addresses to minimize errors and prevent shipping discrepancies.
Address Issues:
Communicate with shipping carriers and freight forwarders to arrange transportation and resolve any issues or delays.
Customer Service:
Serve as the primary point of contact for customers seeking information or assistance with medical equipment products and services.
Respond promptly and courteously to customer inquiries via phone, email, or in-person, providing accurate information, guidance, and support.
Assist customers in selecting the appropriate medical equipment based on their needs, preferences, and budget.
Coordinate meetings with the sales team for higher-level sales support such as product demonstrations, trials, and evaluations for prospective customers, ensuring a positive experience throughout the process.
Provide friendly and knowledgeable customer service via phone, email, and live chat, assisting customers with inquiries, order status updates, and issue resolution.
Address customer concerns or complaints promptly and professionally, taking ownership of problems and following through to resolution.
Educate customers on shipping options, delivery times, and any relevant policies or procedures to enhance their shopping experience.
Communicate effectively with internal teams to relay customer feedback, address recurring issues, and improve processes.

Product Knowledge:
Understanding Product/Service Offerings
: Develop a thorough understanding of our company's medical equipment products and services, including features, specifications, options, applications, and pricing structures.
Market Research:
Stay informed about industry trends, regulations, and advancements in medical technology to effectively advise customers and support sales efforts.
Continuing Education:
Participate in ongoing training and professional development activities to enhance product knowledge and customer service skills.
General:
Assist with general office duties such as answering phones, filing paperwork, and managing office supplies as needed.
Collaborate with other departments, including operations, logistics, and finance, to ensure seamless coordination and support for customer sales activities.
Maintain a clean and organized work area, including packing stations and shipping supplies.
Qualifications:
Proven experience in sales, shipping, or customer service roles, with a strong emphasis on accuracy and record-keeping.
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.
Strong communication skills, both verbal and written, in Microsoft Office Suite and CRM software for data management and reporting.
