Researching other venues for new event leads
Cold calls
Follow-up on inquiries about the event center from: inbound phone calls about booking the event center
social media and the website inquiries
recommendations/referrals from other clients
word of mouth
scouting events to meet potential clients/promoters
Keep database updated with current information on sales activities for the event center
Target potential key clients for current and future bookings
Closely following up on all potential and current clients inquires or calls within a 24-hour response time to answer any questions or overcome any concerns they may have.
Builds and strengthens relationships with existing and new clients to enable future bookings by meeting with those clients whenever possible
Executes and supports the operational aspects of the events booked which includes:
Arranging facility tours for potential clients with onsite operation's staff
Negotiating and generating proposals
Negotiating and drafting contracts
Submitting proposal and contract documents to clients and address any concerns or questions about the contents of the documents
Once the proposal accepted and the contract is signed by all parties, following up on any concerns or questions clients have prior to their event
Event Center Staffing Supervisor Duties
Review the facility operations, the facility management and the facility processes quarterly to ensure that they are working successfully - if needed, make change recommendations to the owner, if approved, implement the changes
Give Operations Manager assistance and suggestions when needed with any staffing concerns or staffing situations.
Work with the Operations Manager on a yearly plan to hit sales goals for private event rental and review progress quarterly.
Monthly meeting with Operations Manager to ensure: adequate staff are scheduled for upcoming events & employee schedules for upcoming events are in line with the staffing hours budgeted for that event.
Collections and Accounts Payable Responsibilities
Title Sponsor:
ensure all aspects of the Title Sponsorship contract is upheld by both parties
timely invoicing of Title Sponsorship installment payments
continued collection attempts to ensure all past due Title Sponsorship installment payments are paid
Event payment and collections:
timely invoicing for all open invoices for current booked events
continued collections and follow-up for monies owed, current and past due, on all booked events
Other Responsibilities
Develop an informational email to reach new and current clients/promoters
Review the event center website weekly to ensure all information is up to date. If and when changes and/or updates are need inform the Operations Manager who will to get the correct information to IT so the needed changes and/or updates can be made
Develop and maintain quarterly informational piece (Newsletter) on the current and future events and happenings at the event center, which is to be sent to potential and current clients/promoters, if time permits
Meetings
Create weekly meeting agendas and attend meeting about the sales activities of the event center with the Operations Manager and the Owner.
Base Salary plus Bonus:
Bonus is based on monthly event venue space rental sales vs. goals, monthly commissions and year-end bonus
