Provide administrative management of projects for the outside sales team, IMA customers, shipping/logistics, accounting/finance, and Project Management group internally or overseas. This encompasses all commercial aspects of quotations, orders, and other interdepartmental responsibilities. This position also requires front desk coverage rotation for lunch, break times, and time off requests.
Job Duties:
Prepare and verify commercial quotations in CRM &/or SAP system as needed.
Issue quotations through the document archival system (SharePoint) for approval and release to sales force / customer.
Verify purchase orders, work with customers to ensure accuracy as required, and then process/enter within SAP system.
Division assignment may require participation in bi-weekly conference call.
Division assignment may require maintenance of all current orders via "Open Order Sheet", used for Bi-Weekly order management meeting for review / update.
Orders are maintained primarily by communication with respective factory, overseas counterpart, shipping department, and outside sales
Prepare Order Confirmations and issue into document archival system (SharePoint) for approval and release to sales force / customer.
Process Change In Work (CIW) documentation as required.
Work directly with Accounting to issue progress billings
Once advised that goods are ready to be shipped, the sales administrator will update order through various steps to a "delivery" status in SAP system, including obtaining the customer's formal shipping instructions.
Work directly with Accounting to issue final invoice
Prepare as required, Material Return documents and associated system transactions
File and maintain all important documents, emails, and shipping information.
Become familiar with assigned products through training as necessary.
Adhere to all internal processes and procedures and make recommendations for improvement where appropriate.
May be assigned maintenance of the Equipment Master Data Access database.
Division assignment may require creation of equipment numbers.
All other duties as directed or assigned.

Education/Experience:
Associate degree in a related field
3+ years' experience in a similar role
Proficient with MS Office
Physical Requirements:
Manual dexterity to use a keyboard
Ability to sit for extended periods of time
Able to hear and speak clearly in person and over the phone
May be required to stay late or come in early to complete important tasks due to customer requirements and completion dates
Ability to occasionally lift up to 25lbs
