Sales Administrator



Job Overview:


The Sales Administrator supports Glenro's Sales Department by ensuring accurate CRM data, qualifying inbound leads, coordinating trade show activities, and assisting with proposals and sales documentation. This role enhances the efficiency and responsiveness of the sales process by maintaining organized records, supporting customer communication, and contributing to smooth departmental operations.

Organizational Structure:



Reports to: Sales Manager

Collaborates with: Sales Engineers, Marketing, Estimators, Project Engineers, and Executive Team

Supervises: None

Qualifications:



Associate's or Bachelor's degree in Business, Marketing, Communications, or related field (or equivalent experience)

Experience with CRM platforms required (HubSpot experience is a plus)

Strong data-entry, organizational, and follow-through skills

Excellent written and verbal communication skills

Ability to manage multiple tasks simultaneously and prioritize effectively

Proficiency in Microsoft Office (Excel, Outlook, Word); familiarity with document templates and formatting

Customer service experience a plus

Ability to work both independently and collaboratively in a fast-paced environment

Responsibilities:



Maintain accurate and up-to-date records within the CRM system to support Sales Engineers and management

Review CRM data for completeness and consistency, resolving discrepancies or missing information

Qualify inbound leads from phone calls, email inquiries, website submissions, and trade shows

Prepare and distribute qualification summaries to the appropriate Sales Engineer

Coordinate trade show logistics, including registrations, booth materials, literature, shipping, and vendor communication

Enter and organize trade show leads in the CRM, ensuring complete and accurate information

Assist with assembling proposal and quotation packages, including formatting, attachments, and required compliance documents

Manage department calendars, schedule customer calls or internal meetings, and support follow-up communication

Maintain organized digital and physical files for proposals, literature, and sales documentation

Assist in generating standard quotes based on established templates and pricing guidelines

Support continuous improvement of sales documentation, workflows, and reporting tools

Provide general administrative support to the Sales Department as needed

KPIs:



Accuracy and completeness of CRM data

Timeliness of lead qualification and distribution

Trade show readiness (materials prepared, logistics completed, leads entered on time)

Responsiveness and reliability in supporting proposal development

Positive feedback from Sales Engineers and Sales Management regarding departmental support

Pay: $40,000.00 - $52,000.00 per year
