Responsibilities include scheduling and calendar management, taking meeting minutes, communications with artists and other external partners, responding to inquiries from the public, image services (internal and external), research assistance, and some writing/editing for curatorial projects. As part of the Curatorial, Collections, & Exhibitions Division (CC&E), this position helps coordinate communications, scheduling, and tasks between CC&E and other internal museum departments. Position Overview:



The Curatorial Assistant position supports the mission of the Eiteljorg Museum by supporting the work of the Eiteljorg Curators, including the Vice President of Curatorial Affairs & Collections, Curator of Native American Art, Hoback Curator of Great Lakes Art, Culture, and Community, and Associate Curator of Western American Art. Responsibilities include scheduling and calendar management, taking meeting minutes, communications with artists and other external partners, responding to inquiries from the public, image services (internal and external), research assistance, and some writing/editing for curatorial projects. As part of the Curatorial, Collections, & Exhibitions Division (CC&E), this position helps coordinate communications, scheduling, and tasks between CC&E and other internal museum departments. The Curatorial Assistant reports to the Vice President of Curatorial Affairs & Collections.


Essential Duties and Responsibilities:






Administration Assistance


Provide organizational support for curatorial, collections, and exhibitions team, including: scheduling and calendar management taking minutes at meetings and distribution filing/archiving digital and paper records, data entry Serve as the first point of contact for external requests for information for curatorial, collections, and exhibitions staff. Assisting with tracking department budgets and expenses. Assist with coordinating travel logistics for internal staff and external visitors, which may include arranging itineraries, honoraria, travel, lodging, and meals. Help connect the CC&E Division and other museum departments by sharing information, updating exhibition planning information and meeting minutes, and directing inquiries between departments.

Imaging Services


For internal Eiteljorg publications and communications needs: provide support in identifying images and securing image rights; acquire copyright clearance for internal use, such as marketing, eMuseum, social media, etc. Support and facilitate external requests for images from the Eiteljorg collection.

Exhibition Support


For the annual Quest for the West ArtShow and Sale: Manage regular communications and email updates with Quest artists (approximately 50 total) regarding planning and deadlines for Quest for the West.*
Record updates to the participating artist list and to the artwork checklist. Gather and format images and artist information for the Quest catalogue and for exhibition labels. Prepare volunteer training materials and supplies for the Quest opening weekend events; manage volunteers during the Quest open weekend events. Assist curatorial team in researching and verifying information for exhibition writing and interpretation. Assist with preparing Exhibition Team meetings and take meeting minutes. Assist with art handling associated with exhibition installations or with collections care as needed.

Requirements / Qualifications




Qualifications and Work Experience Requirements:





BA in art, art history, museum studies, or related field; or equivalent experience. 2 years' experience working in a museum, gallery, or other arts or cultural organization is preferred. Demonstrated ability to handle multiple tasks and remain flexible with changing priorities; organized and detail-oriented. Clear and effective communication skills, both verbal and written. Proficient with Microsoft Office Suite. Some experience with exhibition logistics, museum collections management software, and object handling is a plus. Some familiarity with Native American art and culture and/or Western American art is a plus.

The position necessitates regular use of hands and fingers for handling objects, tools, or controls, particularly when using a computer or managing physical membership materials. Adequate vision and hearing are essential for tasks such as reading documents, using a computer, and communicating effectively with colleagues and members. Occasionally, the role may require lifting and carrying objects, such as membership materials, event supplies, or office equipment, weighing up to 25 pounds. The job also involves frequent repetitive motions, such as typing and using a computer mouse.



While most work is performed in a typical office setting with controlled climate and standard office lighting, some duties may take place in various indoor and outdoor event settings, requiring adaptability to different environments and weather conditions. The noise level is usually moderate but may occasionally be higher during events. The role involves regular interaction with staff, members, donors, and the public, necessitating excellent interpersonal and communication skills. Although the position generally follows a standard workweek, flexibility is required to accommodate events, meetings, and other activities that may occur outside of regular business hours, including evenings and weekends.
