The Registration Coordinator is responsible for conducting various supervisory activities required to maintain efficient day-to-day operations. The Registration Coordinator directly supervises personnel to ensure exceptional patient-focused service. It is the responsibility of the Registration Coordinator to assist in maintaining a positive working environment for all team members. This position requires a full understanding and active participation in fulfilling the mission of the organization. Registration Coordinator will routinely perform various registration duties to ensure the constant reevaluation of existing systems. The Registration Coordinator must have the experience, education, and interpersonal skills necessary to perform the following responsibilities:
Duties:
Supervises all team members in a manner that encourages patient-focused service. Also monitors the daily activities of registration team members and coaches them in a manner to ensure that office practices and procedures are consistently followed.
Supports the entire leadership team by identifying problems and proposing solutions. Reviews and works to improve processes - including those that involve the interface between patient- registration, billing, and clinical matters.
Develops policies/procedures/guidelines and updates them as necessary. Updates guidebooks as needed and creates quick-reference job aids. Regular shares information with staff using our online communication platform.
Assists with the recruiting, hiring, training of team members. On-boards new staff and maintains their personnel files/documents. Coordinates the orientation of new staff and assists in their ongoing education. Identifies training needs and assists team members when necessary. Also helps to develop and deliver in-service training during quarterly/scheduled registration meetings.
Coaches team members and provides consistent feedback. Assists with the creation and delivery of individual performance appraisals, which includes any necessary staff improvement plans.
Assists in the preparation and monitoring of schedules in a manner that minimizes overtime.
Monitors supply levels and orders as necessary.
Assists with the practice's patient satisfaction and feedback process, which includes monitoring daily survey scores/internet posts and sending feedback invitations, especially to those who provide moderate to low Clockwise scores. Randomly visits with patients to ensure their satisfaction. Assists staff with the resolution of patient/family complaints and intervenes when appropriate.
Assists the administrative team in ensuring compliance with practice standards as well as laboratory, radiology, and health/safety regulations/applicable laws.
Identifies targeted growth opportunities and organizes occupational health/employment service (EPS) procurement agreement efforts in collaboration with out-reach team members. Creates and updates PVM corporate protocols based on individual EPS agreements and monitors the process to ensure accuracy. Manages other special services requests (i.e., travel vaccines).
Assists the Billing Liaison with various revenue cycle/accounts receivable functions. Also assists with payer contracting and credentialing. Forwards uncollectible accounts to outside agency for final collection attempt.
Assists the organization with various community relations/marketing activities and participates at these events when needed. Regularly posts new content and marketing information via the web and appropriate social media.
Serves as the liaison between billing and registration staff to coordinate processes that ensure the collection of accurate demographic/billing information.
Assists leadership to ensure the confidentiality of all patient/practice documents consistent with applicable regulations. Assists with the annual "meaningful use" risk assessment and maintenance of records accordingly.
Prepares medical records requests including, scanning request documents, collating required records, invoicing, and mailing records.
On a minimum average of twenty-five (25) hours per week, during breaks and when volume demands, performs registration and clinical duties as outlined in the respective job description.
Is subordinate to the on-duty provider, and shall perform all reasonable duties as assigned by that provider and/or manager.

Prerequisite knowledge and ability to perform all duties of subordinate registration staff as outlined within the "General Duties of Registration Staff."
Education and/or Experience:
High school diploma or GED required.
One (1) year of Medical Assistant experience preferred.
Minimum of two (2) years of medical registration experience required.
Medical billing/coding experience preferred.
Urgent Care center experience and/or knowledge of Practice Velocity (Experity) EMR preferred.
One (1) year of Medical Assistant experience preferred.
Minimum of two (2) years of supervisory/leadership experience.
Degree in health administration or related field preferred.
Language Skills:
Requires exceptional verbal and written communication skills including the ability to communicate clear instructions to team members and patients.
Physical Demands and Conditions:
Requires an ability to maintain composure while working in a stressful environment.
Requires full range of body motion with an ability to stand, walk, sit, use hands, reach with hands/arms and talk. Occasionally required to lift and/or move up to 25 pounds, climb or balance, stoop, kneel, crouch, or crawl.
Requires normal range of hearing/eyesight to record, prepare and communicate appropriate reports.
