Manage the student enrollment process, including registering new students, entering data into the student information system, and maintaining accurate and confidential student records.
Ensure all records meet state and district reporting requirements; regularly update student information; and audit files for accuracy.
Maintain a thorough understanding of FERPA and consistently uphold student privacy and confidentiality standards.
Assist families in completing enrollment forms by answering questions, checking for completeness, and following up on missing documents.
Gather, organize, and maintain all required documents for cumulative student files; ensure timely, accurate file assembly.
Process incoming and outgoing student records promptly and professionally.
Run attendance reports, class lists, award lists, and other administrative reports as requested by building leadership.
Provide in-person and phone guidance and support to families throughout the enrollment and withdrawal process.
Secretarial Responsibilities

Serve as a welcoming, professional first point of contact for students, families, and visitors.
Answer phones, manage mail, maintain electronic and paper files, draft correspondence, and perform other general office duties.
Provide responsive, courteous support to administrators, staff, students, and families, maintaining a positive, calm demeanor even in challenging situations.
Communicate effectively with parents, staff, district departments, and school administration.
Demonstrate initiative and sound judgment; independently solve routine problems and know when to seek support.
Maintain confidentiality and adhere to district policies, procedures, and proper chain of command.
Represent Payette Primary School in a professional, friendly, and student-centered manner.
Perform other duties as assigned by the school administration.
Qualifications

Associate's Degree (preferred) or willingness/ability to pass the Para-Professional Praxis examination.
Strong typing, computer, and technology skills; proficiency with Microsoft Word and Excel.
Experience with student information systems and state reporting systems, so similar systems are preferred.
Highly organized and detail-oriented; able to manage multiple tasks in a busy school environment.
Strong interpersonal and communication skills.
Effective time management and the ability to work calmly under pressure.
Bilingual in Spanish preferred but not required
Salary & Schedule

Salary is based on the district's classified salary schedule.
Daily hours and start/end times will be determined by the building principal based on school needs.

Regular attendance is an essential function of this position.
