Summary of Position

The Records Analyst III is responsible for analyzing records management problems and designing strategies to meet records management program needs, such as file structures for specific record groups and inventorying branch. Structures problems for systematic analysis and formulates recommendations for actions. Reviews and critically analyzes technical documents, presents the analysis results in well-organized readable form, and revises those reports based on results of analysis and consultation with staff.

Job Duties/Responsibilities

Assists in oversight of the CCP active records system for the assigned generator site ensuring data integrity, and compliance with legal and regulatory requirements Manage records received - via transmittals or direct transfer from site operators, Vendor Project Manager, project managers, or other individuals in the CCP program. Enters records and data in records index and project tracking system. Performs scanning of records, as required. Checks records for legibility and completeness of each record received. Performs quality control checks. Scans records into the record server and bookmarks applicable records. Creates transmittals for each record(s) that are sent to different locations and maintains copies of records until a signed transmittal is received. Performs retrievals from active records system, as required for audits, assessment, inspections, surveillances, or corrections. Provides excellent customer service to the client. Processes Records in a timely manner. Performs preparation of files to be maintained in the active records system. File various records media into active records system. Performs file maintenance, as needed. Prepare and ship records. Participate in interviews and meetings for audits, surveillances, assessments, and inspections, as needed. Ensures safe work conditions are maintained by following all safety rules, by participating in periodic facility safety inspections, and immediately reporting any unsafe conditions whenever they are found. Understand and adhere to TFE and WIPP expectations and safety culture.

Requirements:

Education and Qualifications

Bachelors degree in Information Governance, Information Science, Library Science, or Records Management with 5 years relevant work experience or High School Diploma + 9 years relevant work experience. Relevant work experience includes records, privacy, library science information management, and/or library science.


Records and Information Management certification including Certified Records Analyst (CRA), Certified Records Manager (CRM), Information Governance Professional (IGP), Certified Information Professional (CIP) is a plus.

Skills and Specifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, as assigned. The requirements listed below are representative of the knowledge, skill, and ability required.

Proficiency in the use of Microsoft Office, Outlook, Excel, PowerPoint, and Adobe is required. Previous WIPP/ Nuclear or records experience is desired. Must exhibit strong analytical skills, attention to detail, and the ability to work with complex information systems. Must exhibit strong communications skills, both written and verbal. Must possess excellent organizational, clerical, and time-management skills. Must have experience with office equipment and familiarity with the postal system.. Must demonstrate a high regard for professionalism and customer service. Must be able to lift up to 50 lbs. Must be able to demonstrate the ability to multi-task. Would be willing to travel for up to a week at a time to various locations if needed. Is willing to work under minimal supervision while complying with direction, procedures, and requirements. US Citizenship required

While performing the duties of this job, the individual will primarily be in an office setting. The individual will also regularly make onsite visits to various locations. The individual may be required to stand, walk, sit, use hands to fingers, handle or feel, reach with hands and arms, stoop, kneel crouch or crawl, lift (up to 50 lbs.), talk, and hear.
