JOB DESCRIPTION:

The Guest Services Specialist is an incredibly important \'first impression\' for our company; setting the tone and expectation for the standard of service (which our market expects) from an award-winning, world-class automobile retailer. The Guest Services Specialist offers a genuine greeting; whether in person, via phone or via eMail/Text. On a daily basis, is fielding inquires in a timely manner, and ensuring they reach the right contacts within our team to support any guest or client in the most expeditious way. A guest/customer-centric approach is essential to meet our goal to meet the demanding expectations of our guests and customers.

REQUIREMENTS AND QUALIFICATIONS:

  • High school diploma or the equivalent
  • Minimum 1 year experience as a guest service specialist or similar role
  • Great interpersonal communication skills
  • Strong operational understanding of personal computers, land-line phone and cell phones
  • Detail oriented and critical thinker
  • Passion for customer service and delighting the guest
  • Be a team player, self-motivated
  • Multitasking and time-management skills with the ability to prioritize tasks
  • Maintains consistent knowledge of company structure, systems and campus operations
  • Ability to work accurately and pleasantly with numerous interruptions
  • Professional appearance and disposition

  • Able to work in an active, social atmosphere without being distracted
DUTIES AND RESPONSIBILITIES:
  • Ensure reception/front-desk areas are tidy and presentable, with all necessary stationery and materials (e.g., pens, etc.)
  • Welcome guests and clients in a warm and friendly manner, and answers any questions they may have
  • Manage \'start\' and \'end-of-day\' responsibilities
  • Operate a multi-line telephonic system to answer calls and transfer them to the proper extensions and/or taking messages and e-mailing/texting to ensure the most expeditors engagement to a query within the team
  • Field guest/client complaints and concerns, getting those delivered to the appropriate manager/team-lead
  • Keep written/digital records of any caller who is on hold. Always know who the caller was holding for if the call comes back to the operator.
  • Take detailed messages when call cannot be completed including name, phone number, time of call, and information requested and delivered to the appropriate party in a timely manner.
  • Review team member schedules daily and keep abreast of who is working/available and who is not
  • Receive deliveries, sort, and distribute incoming mail
  • Be cooperative, courteous, helpful, and pleasant to work with
  • Working with various software tools, Microsoft Productivity Suite, Google Productivity Suite, TEKION, Closed-Circuit Video Monitoring, etc.
  • Respect and always maintain privacy and of guests/clients - operating in ways that always ensure confidentiality
  • Support the Accounting/Business Office with various administrative tasks/projects
  • Support senior management with various administrative tasks/projects
  • Support with monitoring and logging calls/traffic to be shared with management to ensure correct usage of the CRM
  • Support with Events and Brand Activations outside of normal business hours
  • Help to reconcile New and Used inventories for weekly and bi-monthly reporting
  • Take regular inventory and ensure regularly stocking of various supplies
  • Maintain common areas including reception areas, lounge areas, kitchen, meeting rooms, kitchen, coffee machines and more.
  • Perform other job-related duties as assigned by management

COMPENSATION: $19.00/hr.
