We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, be proficient with computer applications, and demonstrate excellent communication abilities. Bilingual skills are a plus, as well as experience with medical or dental reception duties. Duties
Greet visitors and clients promptly and professionally at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and manage calendar for staff and executives
Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
Handle correspondence via email and postal mail, including proofreading documents for accuracy
Support office management tasks such as inventory control, supply ordering, and document preparation
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Provide customer support by addressing inquiries efficiently and courteously
Maintain a clean and organized reception area to promote a welcoming environment
Support personal assistant duties as needed, including calendar management and travel arrangements
Experience
Prior office experience or administrative support experience preferred
Familiarity with front desk operations, multi-line phone systems, and office management procedures
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with clerical tasks such as data entry, filing, proofreading, and document management
Knowledge of QuickBooks or bookkeeping experience is advantageous
Strong organizational skills with the ability to prioritize tasks effectively
Excellent phone etiquette and customer service skills
Bilingual abilities are a plus to assist diverse client needs
Personal assistant or medical/dental receptionist experience is beneficial but not required
This role requires a detail-oriented individual who can manage multiple responsibilities efficiently while providing outstanding support to both clients and team members.
Pay: $22.68 - $27.31 per hour
Expected hours: 30.0 per week
