We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Responsibilities
Greet visitors and clients with a friendly, professional demeanor, providing exceptional customer service at all times
Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate staff members
Maintain a clean, organized front desk area and ensure all reception areas are welcoming and professional
Perform data entry tasks with accuracy using computer literacy skills, including updating databases and maintaining filing systems
Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings or events
Proofread documents for accuracy and clarity before distribution or filing
Support clerical functions such as copying, scanning, filing, and maintaining office supplies inventory
Provide administrative support to various departments as needed, including personal assistant duties or special projects
Demonstrate excellent phone etiquette while managing inquiries from clients, vendors, or team members in a courteous manner
Ensure confidentiality of sensitive information while handling customer support requests or internal communications
Experience
Previous office experience in a receptionist or administrative role is highly preferred
Proven clerical experience with strong organizational skills and attention to detail
Experience with multi-line phone systems and providing exceptional customer service over the phone
Bilingual abilities are a plus to serve diverse client needs effectively
Knowledge of medical or dental receptionist procedures is beneficial but not required
Personal assistant or office management experience will be considered an asset
