We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team. Responsibilities



Greet visitors warmly and professionally, providing exceptional customer service at all times Answer multi-line phone systems promptly and courteously, directing calls accurately and taking detailed messages when necessary Manage front desk operations, including handling incoming correspondence, mail distribution, and visitor sign-in procedures Maintain organized filing systems--both physical and digital--ensuring easy retrieval of documents Perform data entry tasks with high accuracy using Microsoft Office Suite (Word, Excel) and Google Workspace tools Schedule appointments, meetings, and calendar management for staff members using various digital tools Assist with office management duties such as ordering supplies, maintaining inventory, and coordinating maintenance requests Support bookkeeping activities using QuickBooks or similar accounting software when needed Proofread documents for accuracy and clarity before distribution Handle clerical tasks such as photocopying, scanning, faxing, and preparing reports or presentations Provide administrative support to team members including personal assistant responsibilities when required Demonstrate excellent phone etiquette while managing inquiries from clients or vendors with professionalism and efficiency Support medical or dental reception duties if applicable, including patient check-in/out processes and insurance documentation

Experience



Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities Experience working at a front desk or in customer service environments with excellent communication skills Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry tools Familiarity with multi-line phone systems and phone etiquette standards Bilingual abilities are highly preferred to assist diverse clients or patients effectively Knowledge of QuickBooks or bookkeeping software is a plus but not mandatory; training can be provided Experience in clerical tasks such as filing, proofreading, calendar management, and document preparation is desirable Personal assistant or medical/dental receptionist experience is advantageous for specialized roles within healthcare settings

Job Type: Full-time

Pay: $11.00 - $12.00 per hour

Expected hours: 40 per week
