Duties



Greet visitors, clients, and staff with professionalism and enthusiasm at the front desk, ensuring a positive first impression Operate multi-line phone systems, screen calls, take messages, and direct inquiries efficiently using excellent phone etiquette Manage appointment scheduling and calendar coordination for multiple departments or professionals Perform data entry, filing, and document proofreading to maintain accurate records and ensure error-free communication Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, reports, and organizational tasks Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of common areas Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial record-keeping

Qualifications



Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry systems Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly preferred to serve diverse clients and team members effectively Strong attention to detail for proofreading documents and managing schedules accurately Prior experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous Demonstrated customer service skills with a friendly demeanor and positive attitude Ability to manage time efficiently while handling multiple priorities in a fast-paced environment

Pay: $21.57 - $25.98 per hour
