Job Overview


We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. The role also involves creation/managing some aspects of social media for the company. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple responsibilities in a fast-paced setting. Experience with office software, customer service, and multitasking is essential to succeed in this position. The selected candidate will split their work time between our New Albany, Indiana and Louisville, Kentucky locations.

Responsibilities



Greet visitors and clients warmly, providing exceptional customer service Manage multi-line phone systems, directing calls appropriately and taking messages as needed Maintain a clean and organized front desk area Schedule appointments and manage calendar entries using Microsoft Office and Google Workspace tools Creation of social media posts, reels, and stories. Handle data entry, filing, and document proofreading with accuracy and attention to detail Assist with office management tasks such as supply inventory and basic bookkeeping using QuickBooks or similar software Support administrative functions including typing, document preparation, and email correspondence Provide support for customer inquiries via phone, email, or in person, ensuring professional phone etiquette and support standards Perform clerical duties such as copying, scanning, and maintaining records in an organized manner Coordinate with team members to ensure smooth office operations and timely task completion

Skills



Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, Canva, etc. Experience with front desk operations, multi-line phone systems, and office management software like QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively Exceptional communication skills, including phone etiquette and customer service experience Bilingual abilities are a plus for serving diverse clients effectively Attention to detail in proofreading, data entry, and document management Ability to handle multiple responsibilities simultaneously with strong time management skills Previous clerical or administrative experience preferred; experience in medical or dental reception is advantageous Familiarity with calendar management and scheduling tools; personal assistant experience is beneficial Knowledge of bookkeeping practices is a plus for handling basic financial tasks

Job Type: Full-time

Pay: $14.00 - $16.00 per hour

Expected hours: 36 per week
