Duties
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems, directing calls appropriately and maintaining phone etiquette
Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
Perform data entry, filing, and document proofreading with attention to detail
Operate office equipment such as printers, fax machines, and photocopiers
Assist with basic bookkeeping tasks using QuickBooks or similar software
Support office management tasks including supply inventory and organization of files
Provide customer support via phone, email, or in person, ensuring excellent service standards
Manage incoming correspondence and respond to inquiries efficiently
Maintain a clean and organized front desk area to promote a professional environment
Requirements
Proven experience in office management, clerical work, or administrative support
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
Excellent organizational skills with the ability to prioritize tasks effectively
Typing speed of at least 60 WPM with high accuracy
Familiarity with multi-line phone systems and phone etiquette best practices
Bilingual abilities are preferred to assist diverse clientele
Experience with QuickBooks or bookkeeping is advantageous
Previous experience as a medical or dental receptionist is a plus but not required
Strong attention to detail with proofreading and data entry skills
Ability to handle confidential information discreetly and professionally
Excellent customer service skills with a friendly demeanor and professional appearance
