Duties
Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression
Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming mail
Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for data entry, document proofreading, and record keeping
Support administrative tasks such as filing, data entry, calendar management, and proofreading documents to ensure accuracy
Maintain organized filing systems--both physical and digital--and ensure confidentiality of sensitive information
Assist with bookkeeping tasks including basic bookkeeping and invoice processing as needed
Experience
Proven office experience or clerical experience in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience handling multi-line phone systems with professional phone etiquette
Bilingual abilities are highly desirable to serve diverse clients effectively
Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Previous experience in receptionist roles is a plus but not required
Personal assistant or office management experience will be considered an asset
Familiarity with data entry, filing systems, bookkeeping, and basic administrative support functions
