We are seeking a friendly and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Duties
Greet clients and visitors warmly and direct them to the appropriate personnel.
Manage multi-line phone systems, answering calls promptly and professionally while maintaining phone etiquette.
Schedule appointments and manage calendars for staff members, ensuring efficient time management.
Perform data entry tasks, including maintaining accurate records and filing documents.
Maintain an organized front desk area, ensuring that it is welcoming and conducive to a professional environment.
Support customer service efforts by addressing inquiries and resolving issues effectively.
Collaborate with team members on office management tasks to ensure smooth operations.
Prepare and send medical records and billing requests to hospitals, clinics, chiropractors, imaging centers, and other providers.
Track requests to ensure timely responses and follow-up with providers when records are delayed.
Requirements
Previous law firm experience is required
(personal injury experience strongly preferred).
Bilingual candidates are encouraged to apply as it enhances communication with diverse clientele.
Strong understanding of medical records, billing, and HIPAA compliance.
Excellent organizational and time management skills.
Ability to manage a high volume of requests and meet deadlines.
Strong attention to detail and accuracy in reviewing records.
Proficiency in Microsoft Office and case management software
Professional communication skills (written and verbal).
Familiarity with multi-line phone systems and strong phone etiquette skills are required.
Excellent organizational skills with the ability to manage multiple tasks efficiently.
Strong typing skills with attention to detail for data entry and document proofreading.
