Job Description

Core Responsibilities



Visitor Management:

Greet, welcome, and direct guests to the appropriate person or office.

Communications:

Manage a multi-line phone system, including answering, screening, and forwarding calls.

Administrative Support:

Assist with clerical tasks such as filing, photocopying, scanning, and data entry.

Scheduling:

Manage calendars, schedule appointments, and coordinate meeting room reservations.

Mail Handling:

Receive, sort, and distribute daily mail and deliveries; prepare outgoing shipments.

Workspace Maintenance:

Ensure the reception area and common spaces remain tidy and presentable.

Security:

Maintain office security by following safety procedures, monitoring visitor logs, and issuing guest badges.

Skills and Qualifications



Education:

Typically requires a High School Diploma or GED; some corporate roles may prefer an Associate's or Bachelor's degree.

Technical Proficiency:

Skilled in Microsoft Office Suite (Word, Excel, Outlook) and office equipment like printers and fax machines.

Customer Service:

Strong interpersonal skills to handle diverse visitors and resolve inquiries with a polite demeanor.

Organization:

Excellent time-management and multitasking abilities to prioritize various front-office needs simultaneously.

Communication:

Exceptional written and verbal communication skills.
